Job Description

The Office of the Legal Advocate is a dedicated government entity committed to providing high-quality legal representation and safeguarding the fundamental constitutional rights of indigent clients. We are currently seeking a motivated Legal Secretary to join our legal defense team. This position is vital to our operations, assisting attorneys and their teams by managing case files, preparing legal documents such as pleadings, petitions, briefs, correspondence, and motions, and ensuring accurate and timely filing within a fast-paced legal environment. The Legal Secretary works closely with attorneys and other legal professionals to ensure clients receive effective representation. This role requires strong organizational skills, excellent communication abilities, and a proactive attitude to handle multiple legal administrative tasks. The position is unclassified, offering a pay range of $21.75 to $36.50 per hour, commensurate with experience and internal equity, and includes eligibility for overtime compensation beyond 40 hours a week. You will be involved in diverse activities including transcribing interviews, managing communications, coordinating calendars, and maintaining confidential legal records under tight deadlines. Job Requirements

  • High school diploma or GED
  • two years of experience in a legal setting with knowledge in legal preparations and legal proceedings
  • post-secondary education may substitute for experience on a year-for-year basis

  • criminal law or indigent defense office experience
  • experience as a Legal Secretary in a public or private law firm
  • certificate of completion from an accredited secretarial school or legal secretary training program

Job Duties

  • Types and prepares legal documents, briefs, petitions, and memoranda for filing from written copy, oral and/or mechanical dictation in a fast-paced environment
  • transcribes witness interviews verbatim from cassette tape, CD and/or digital recordings
  • answers multi-line telephone for various staff members, screens calls, transfers, and takes messages as needed
  • performs as receptionist for unit or floor, directs visitors, sorts, and distributes mail/fax transmissions, and memos
  • coordinates case files and calendars, files documents in complex files, prepares court calendars for attorneys, schedules meetings, interviews, and legal calls
  • photocopies documents, correspondence, notebooks, books, motions, briefs, files, and other confidential materials
  • supports attorneys who represent persons charged with and/or convicted of crimes, some involving traumatic subject matter, under critical deadlines
  • accesses information electronically from court and updates internal case tracking systems
  • hand-delivers and/or picks up documents/items on- and off-site
  • boxes files for long-term storage and occasionally retrieves closed files from storage
