Join our dynamic legal team as a Legal Office Receptionist, where you will serve as the welcoming face of the firm, ensuring every client and visitor experiences a warm and professional atmosphere from the moment they enter. This role is instrumental in supporting attorneys and paralegals by handling a range of administrative and legal support tasks, effectively acting as the nexus that keeps day-to-day operations running smoothly. Working under the direct supervision of the Director of Business Operations and Case Manager, you will contribute significantly to the efficiency and organization of the office.
As the first point of contact in our office, you will conduct welcoming and screening duties, maintain security by monitoring building access, and manage office opening and closing procedures. Your responsibilities will extend to managing mail and packages, coordinating conference room schedules, maintaining office supplies, and overseeing critical equipment such as copiers and postage machines. You will also coordinate essential services like shredding and assist with firm events and meetings, enhancing the operational flow.
In addition to front desk operations, this role encompasses vital legal support duties. You will be responsible for document management, including scanning, organizing, and filing important case documents using Filevine, the firm's case management system. Preparing standard document templates, assembling trial and exhibit materials, and supporting scheduling efforts for hearings and client meetings are key components of your role. Your attention to detail and organizational skills will ensure that case files are maintained accurately, deadlines are met, and confidential information remains secure.
The ideal candidate for this position will have prior experience in a legal or professional office setting and demonstrate proficiency with the Microsoft Office Suite. Familiarity or willingness to learn legal case management software such as Filevine is essential. Knowledge of the Colorado Courts E-Filing System is an advantage. Strong organizational capabilities, excellent communication skills, and a commitment to confidentiality are paramount for success in this role.
Physically, candidates should be able to manage work that involves sitting for extended periods, lifting moderate weights related to office and mail supplies, and navigating office spaces efficiently. This full-time in-office position follows a Monday to Friday, 8:00 AM to 5:00 PM schedule and offers the opportunity to be an integral part of a professional legal team in a non-exempt role. This position is ideal for a detail-oriented, resourceful individual who thrives in a fast-paced environment and values contributing to legal operations from the front lines.

Job Qualifications
- Prior experience in a legal or professional office environment
- Proficiency in Filevine or willingness to learn legal case management software
- Strong knowledge of Microsoft Office Suite including Word, Outlook, Excel
- Familiarity with the Colorado Courts E-Filing System is a plus
- Exceptional organizational skills and keen attention to detail
- Strong written and verbal communication abilities
- Ability to maintain confidentiality at all times

Job Duties
- Be the welcoming presence at the front desk throughout business hours
- Monitor building entry and manage guest access for a secure environment
- Greet clients and visitors with professionalism
- confirm their identity and direct them appropriately
- Open and close the office daily, managing lights and doors effectively
- Sort, date-stamp, and distribute all incoming mail and packages
- coordinate outgoing mail
- Maintain conference room calendars, ensuring rooms are clean and ready for meetings
- Manage office supplies, coffee, tea, and hospitality items for a comfortable environment
- Oversee the copy room, copier, and postage machine maintenance
- Coordinate shredding services with the vendor
- Update and maintain the firms phone extension list
- Support firm events, meetings, and functions as required
- Assist with phone inquiries as needed
- Scan, save, and organize documents in Filevine, including filing pleadings
- Prepare basic document templates as instructed
- Assemble trial notebooks, exhibit binders, and hearing materials as required
- Update case management fields, checklists, and file organization in Filevine
- Assist with opening and closing case files in the case management system
- Support paralegals with scheduling hearings, mediations, and client meetings
- Help with calendar management as needed
- Organize and compile financial document packets without drafting or analysis
- Maintain strict confidentiality regarding all client information and case matters
