This particular position is a hybrid role based in Nashville, TN, offering a unique opportunity for a Legal Assistant, Administrative Assistant, or Executive Assistant on a 5-month contract basis. The role requires a professional with a strong foundation in administrative support and the ability to manage complex communications effectively. Offering a hybrid working schedule with mandatory onsite presence weekly, the position provides a competitive pay rate of $25.00 per hour for W2 employees or $27.00 per hour for incorporated contractors (not accepting 1099 or C2C). The working hours are Monday through Friday, from 8:00 AM to 4:30 PM.
The Legal Assistant will play a vital role in supporting the Office of General Counsel (OGC) by managing the increased volume of communications from advocacy organizations, legal groups, and TennCare members. This increase has introduced a significant administrative workload that diverts attorney time from core legal activities. Therefore, the assistant's responsibilities include managing shared communication processes, tracking systems, reporting, and ensuring timely responses to inquiries related to TennCare applicants and members. The individual will be tasked with shared inbox management, including monitoring throughout the workday, routing inquiries to relevant staff, applying workflow categorizations, and maintaining organized records to prevent missed or delayed requests.
Additional duties involve preparing weekly agendas, biweekly status reports, monthly archival reviews, and maintaining tracking logs, which collectively support the General Counsel’s meetings and activities. Other typical administrative functions such as calendar maintenance, call answering and routing, document review assistance, note-taking during meetings, and follow-up coordination are part of the role. Proficiency in Microsoft Outlook, Excel, Word, and MS Teams, combined with excellent written and verbal communication skills, are essential for success. Preferred candidates will have experience supporting legal departments, government agencies, or public-sector programs, alongside familiarity with legal or regulatory correspondence workflows. This contract role does not accept third-party contractors, C2C, or 1099 agreements, emphasizing a direct employment relationship for local candidates. Job Duties
- Manage the Office of General Counsel (OGC) shared inbox throughout the workday
- promptly route new inquiries to the appropriate business units or legal staff
- apply internal workflow tags and categorizations to support tracking and reporting
- maintain an organized inbox structure to minimize missed or delayed requests
- archive and reopen email threads as matters evolve
- create weekly meeting agendas using the central tracking spreadsheet
- prepare twice weekly status and update reports for General Counsel meetings
- conduct monthly reviews of archived emails for accuracy and proper categorization
- maintain and update tracking logs for matters initiated through the shared inbox
- provide additional inbox management
- maintain calendars and schedule meetings
