The Lease Up Coordinator role is a critical frontline position responsible for managing the initial outreach phase of the lease-up process within a residential community. This role involves converting a large lottery list of over 6,000 potential tenants into qualified appointments through a highly disciplined and scripted series of outbound communications including calls, texts, and emails. Operating under the supervision of the onsite Community Manager, the Lease Up Coordinator executes high-volume, high-velocity outreach efforts while adhering strictly to prescribed scripts and compliance requirements such as Fair Housing laws.

In this capacity, success is measured not by closing leases but by maintaining a consistent and meaningful contact cadence, responding rapidly to inbound leads, and setting qualified appointments for the Intake Specialists who handle lease finalization and compliance. The coordinator uses CRM software to manage interactions and ensure all outreach efforts are systematically recorded with disposition codes for transparency and accountability.

Key responsibilities include making 45 to 60 meaningful outbound contacts daily, maintaining 10 to 15 live conversations, and setting 12 qualified appointments each day. This role requires responding to inbound inquiries within 15 minutes during business hours, managing a structured 8 to 12 contact nurture cadence over 21 days, and confirming appointments 24 hours and 2 hours prior to scheduled times to minimize no-shows. The Lease Up Coordinator also participates in daily pipeline meetings to align with team goals and promptly escalates any complex compliance or eligibility questions to the Community Manager.

This position strongly emphasizes adherence to policies and scripted communication, ensuring standardized and compliant engagement with potential residents. It is important to note that this role does not involve lease closing, intake interviews, document collection, or eligibility determination, as those functions are handled by other members of the intake and compliance teams. Additionally, the outreach approach is non-discretionary, with cadence, scripts, and service level agreements strictly enforced.

Ideal candidates will have at least a high school diploma or equivalent and over one year of experience in outbound calling, scheduling, sales development, or customer service. The role requires comfort with high-volume phone and text outreach, strong written communication, and a professional telephone presence. Technological requirements include reliable broadband internet with a minimum speed of 50 Mbps, a quiet work environment, and a USB headset. Familiarity with CRM software, scheduling tools, and productivity applications is essential, along with flexibility to work scheduled evening shifts on a rotating basis to extend response coverage.

Job Duties

  • Execute 45-60 meaningful outbound touches per day including calls, texts, emails, and CRM notes
  • Sustain 10-15 live conversations per day and set 12 qualified appointments for the Intake Specialist
  • Respond to inbound leads within 15 minutes during business hours
  • Run an 8-12 touch nurture cadence over 21 days for every assigned name and document every touch in the CRM with disposition codes
  • Use approved scripts, Fair Housing-compliant language, and lottery eligibility pre-screening questions on every call
  • Schedule appointments directly into the Intake Specialist's calendar with full lead notes attached including household size, income range, language preference, and urgency
  • Confirm appointments 24 hours and 2 hours prior to reduce no-show fallout
  • Participate in the daily 15-minute pipeline standup hosted by the Community Manager
  • Escalate complex eligibility, accessibility, or compliance questions to the Community Manager without improvisation on policy
