As a Lead Wedding Coordinator, you will play a crucial role in the successful execution of weddings by working closely with clients and internal teams. Your responsibilities include conducting final details calls approximately six weeks before the wedding to finalize logistics, timelines, and expectations, as well as leading the ceremony rehearsal to ensure all participants are confident with their roles and timing. On the wedding day, you will act as the primary advocate for the couple, maintaining a calm and solutions-oriented approach while managing vendor arrivals, setup, and the overall flow of the event. Leadership is key in this role, as you will supervise assistant coordinators and guide the wedding party and family members throughout the day. You will also handle any last-minute challenges with professionalism and ensure all personal and event items are accounted for and packed at the end of the celebration.

Job Duties

  • conduct a final details call with clients roughly six weeks before the wedding to finalize logistics, timelines, and expectations
  • lead the ceremony rehearsal the day before the wedding, ensuring all participants are confident in timing and key cues

  • oversee the setup of the ceremony and reception in line with the event design and day-of execution playbook
  • manage the full execution of the wedding day, from vendor arrival to final breakdown
  • welcome, direct, and serve as the main point of contact for all vendors
  • clearly communicate setup instructions to vendors to ensure alignment with the event's vision
  • coordinate the placement of personal and event details such as escort cards, menus, table numbers, favors, guest books, and decor elements
  • assist the wedding party and family members with guidance, timing cues, and day-of needs
  • ensure all items are packed and accounted for at the end of the event
  • proactively manage any issues or last-minute changes to maintain a smooth and enjoyable experience for guests
