This specialist plays a critical part in coordinating detailed event elements such as budgeting, invitations, registrations, travel, accommodations, agenda creation, food and beverage planning, audiovisuals, site inspections, billing, and program evaluations. In addition, the incumbent manages multiple concurrent programs, often overlapping in schedule, demonstrating strong organizational and multitasking abilities. The specialist also supports larger organizational events and enhances internal platforms to elevate the overall meetings and events experience throughout the division.
Another vital aspect of this role includes mentoring administrative staff supporting the division leadership team by instructing them on planning smaller meetings. The Lead Event Planning Specialist also acts as a liaison for major organizational events and contributes to process improvements, ensuring all meetings comply with company policies and procedures. Essential qualifications include a bachelor’s degree and at least four years of experience in event planning, with proven capabilities in managing multiple simultaneous meetings and international travel readiness up to 50%. - Ability to travel domestically and internationally up to 50%
- Strong verbal, written, presentation, and interpersonal communication skills
- Proficiency in Microsoft Office including Excel, Word, and PowerPoint
- Experience with Marketo, SharePoint 365, Zoom, Teams, or similar platforms preferred
- Ability to work in a hybrid work environment
- Exceptional attention to detail and organizational skills
- Ability to negotiate contracts and maintain vendor relationships.

Job Duties
- Execute meeting planning strategy and cadence in alignment with divisional goals and budget
- Develop and manage all aspects for assigned divisional meetings ranging from 20 to 500 people
- Coordinate all event details including budgeting, attendee communications, invitations, registration, travel arrangements, hotel accommodations, agenda development, food and beverage, audiovisual, site inspections, billing reconciliation, and program evaluations
- Create program budgets, control documents, and tracking information, ensuring policy compliance
- Define and execute budgets with financial partners and ensure timely invoice reconciliation
- Collaborate across groups, divisions, and business units for division meetings
- Partner with stakeholders on event planning needs and budgets
- Deliver engaging attendee experiences in person and virtually
- Manage multiple meetings occurring simultaneously
- Support team members with pre-event tasks and onsite assistance
- Manage vendors and external partners with clear communication
- Contribute to meeting planning process improvements
- Assist in event planning and execution for Customer and Employee Engagement functions
- Evaluate attendee and stakeholder feedback for program enhancements
- Stay current with meeting trends to increase engagement
- Liaison for cross-divisional medical meetings
- Manage additional strategic projects as assigned
- Mentor admins supporting the division leadership team on planning smaller meetings.
