The role of Lead Event Planner at Marlborough School presents an exciting opportunity for an experienced and dynamic professional to contribute to the life of this vibrant educational community. Reporting directly to the Manager of Auxiliary Services, the Lead Event Planner will be responsible for the comprehensive planning, management, and execution of a broad range of school events. These events include academic ceremonies, admissions functions, advancement and fundraising activities, as well as community engagement initiatives. This position requires a meticulous organizer with exceptional creative and collaborative skills, as well as the ability to manage complex logistics involving multiple vendors, departmental coordination, and budget oversight.
The Lead Event Planner will serve as a vital link between various school departments and external partners, ensuring that every event aligns with Marlborough’s high standards and brand identity. Key responsibilities include managing logistics such as venue selection, catering arrangements, audiovisual needs, security protocols, transportation, and event setup and teardown. This role also involves handling all reservations and event databases, developing detailed timelines, budgets, and plans, and conducting post-event analyses to measure success and inform future improvements. Financial oversight is a critical component, with duties encompassing tracking expenses, negotiating contracts, and preparing reports.
Moreover, the Lead Event Planner will lead cross-functional event committees and volunteer groups, ensuring effective communication, task delegation, training, and supervision. Collaboration with the Communications department will be crucial for event promotion and branding efforts. - Bachelor of Arts or Science degree or equivalent work experience
- Minimum 3-5 years of progressive experience in event planning or related area
- Effective communication skills both orally and written
- Proficiency in Google Suite, Microsoft Office, Adobe, and other software platforms preferred
- Ability to work on-site 5 days per week

Job Duties
- Lead the planning and execution of all major school events, including academic and ceremonial, admissions, advancement/fundraising and community events
- Serve as the primary liaison with various school departments to determine event objectives and requirements
- Manage all event logistics, including venue selection (on and off campus), catering, audiovisual, security, transportation, and setup/teardown
- Manage eSpace reservations and databases for school events
- Develop event timelines, budgets, and detailed logistical plans for each event
- Conduct post-event analysis by gathering feedback, reviewing financial outcomes, and assessing overall success against established goals
- Create comprehensive event reports and maintain detailed records and documentation for future planning
- Negotiate and manage contracts with all vendors, including caterers, florists and rental companies
- Track all event expenses and reconcile budgets post-event, providing detailed financial reports to the relevant departments
- Maintain a list of preferred vendor relationships and continually seek new high-quality partners
- Lead and direct cross-functional event committees and volunteer groups, clearly delegating tasks and providing necessary training and supervision
- Collaborate with the Communications department on event promotion, branding, and required materials
- Assist with departmental administrative tasks and special projects as needed
