Job Description

The University Events Department at UTEP is seeking a motivated and detail-oriented Event Coordinator to join its team. Reporting directly to the Assistant Vice President of University Events, this full-time exempt position is located in El Paso, Texas, with a salary of $40,480 annually. This role involves working 40 hours per week, Monday through Friday from 8:00 am to 5:00 pm, with required flexibility for evening and weekend events. The Event Coordinator will be instrumental in supporting the planning, coordination, and execution of various institutional events that align with the university's mission and strategic initiatives.
This position plays a crucial role in ensuring that university events are delivered efficiently and professionally, collaborating closely with campus partners, university leadership, vendors, and other external stakeholders. The coordinator will handle both operational and logistical responsibilities, maintaining organized processes and records. Attention to detail, exceptional customer service, and a commitment to delivering a positive guest experience are key attributes for success in this role. Responsibilities include preparing event materials such as briefing documents, schedules, checklists, signage, and various planning tools with precision.
The Event Coordinator will also oversee day-to-day administrative and operational functions within the University Events office, contributing to the visual and experiential aspects of events including layout and material presentation. Monitoring industry trends and proposing enhancements to improve event processes and guest experiences are essential components of the job. The position requires compliance with all university and state policies, ensuring confidentiality and discretion in handling sensitive information.
Ideal candidates will possess knowledge of Microsoft Office software and be able to adapt to institutional software systems. Additionally, a valid state driver's license is required. The role demands physical stamina as it involves frequent standing, walking, lifting of up to 50 pounds, and working in environments with moderate noise levels. - Valid state-issued driver’s license
- Ability to work flexible hours including evenings and weekends
- Proficiency with Microsoft Office software

Job Qualifications
- Bachelor’s degree
- 0-2 years of related experience or equivalent combination of education and experience
- Experience supporting events in higher education, nonprofit, or professional environment preferred
- Familiarity with event planning processes, project coordination, or logistics preferred
- Exposure to design tools, marketing materials, or visual presentation concepts preferred
- Bilingual (English/Spanish) preferred
- Valid state-issued driver’s license
Job Duties
- Plan, coordinate, and execute a variety of university events, ensuring timelines, budgets, and quality standards are consistently met
- Collaborate with campus partners, leadership, vendors, and service providers to support event objectives and requirements
- Provide professional and responsive customer service, ensuring clear communication, timely follow-up, and appropriate issue resolution
- Prepare event materials, briefing documents, schedules, checklists, signage, and planning tools with a high level of accuracy and attention to detail
- Maintain organized records, event files, timelines, and departmental resources
- Oversee and support day-to-day administrative and operational functions within the University Events office
- Contribute to the visual presentation and overall experience of events, including layout, materials, and attention to design details
- Monitor industry trends and recommend enhancements to event processes and guest experience
- Ensure confidentiality of sensitive information and compliance with all university and state policies
- Attend and support all assigned events, including extended hours and weekends as needed
- Demonstrate accountability, dependability, discretion, and commitment to excellence in all responsibilities
- Utilize Microsoft Office software and institutional software systems effectively
- Comply with all State and University policies
- Perform other duties as assigned
