Alongside Laurelwood Assisted Living, Laurel Way Memory Care is a specialized wing designed to provide tailored memory care services for residents with cognitive impairments. The Laurelwood Reception Coordinator holds a vital position within this dynamic senior living environment. This full-time role, with working hours from 8:00 am to 4:30 pm Monday through Friday, requires a dedicated professional to oversee all aspects of the hospitality desk serving both Laurelwood Assisted Living and Laurel Way Memory Care. The salary for this position ranges from $18.00 to $27.00 per hour, which is based on experience. The Coordinator's primary responsibility is to provide exceptional customer service to residents, their families, staff members, and visitors, ensuring a smooth and welcoming experience for everyone interacting with the community.

The role involves significant administrative duties, including direct supervision and scheduling of receptionists, managing residents' doctor appointments (such as those with primary care physicians, podiatrists, and audiologists), arranging transportation in collaboration with the Transportation Supervisor, and assisting with various regulatory compliance tasks according to New York State Department of Health regulations. The Reception Coordinator must be capable of multitasking and prioritizing responsibilities effectively in a high-visibility, fast-paced setting with frequent interruptions.

In addition to customer service and administrative management, the Reception Coordinator is expected to communicate effectively both verbally and in writing, maintaining a communication log to relay important incidents or updates to management. The role also includes responsibilities such as covering down-shifts and employee callouts to ensure adequate coverage at the hospitality desk and providing orientation for new residents by introducing them to services offered by the hospitality desk and orienting them to the entire community.

Administrative tasks extend to scheduling resident appointments and transportation, calendar maintenance for senior staff, accurate transcription of meeting minutes, maintaining up-to-date resident profiles and records, and ensuring proper identification and documentation in compliance with organizational policies. Maintaining an orderly record system for residents, handling the preparation of new admission charts, and processing physician's orders promptly and accurately are also key duties associated with this position.

The Reception Coordinator also supports the organization by managing logistics related to guest apartment activities and maintaining scheduled records for healthcare appointments such as dentist, ophthalmologist, dental hygienist, hairdresser, and podiatrist visits. They are responsible for filing and organizing residents’ medical records efficiently, thinning out records as necessary, assembling discharge records for health information, and aiding residents to assigned areas as needed. This role demands a professional with excellent interpersonal skills, strong working knowledge of Microsoft Office applications, and a background in healthcare administrative support to ensure the highest standards of service and compliance are upheld within the community.

Job Requirements
