EMSL is currently seeking a dedicated Laboratory Administrative Assistant II to join their dynamic team in South Pasadena. This full-time position plays a pivotal role in supporting the laboratory manager and analysts by overseeing critical sample management operations. The Laboratory Administrative Assistant II will be responsible for handling incoming environmental samples, ensuring thorough documentation using the Laboratory Information Management System (LIMS), and maintaining rigorous quality control for sample integrity. This role involves key clerical activities such as answering high volume phone calls, assisting clients, managing filing and scanning tasks, and coordinating sample shipping and receiving activities. The assistant will also generate reports and invoices, ensuring final client reports are delivered in a timely and professional manner. Strong communication skills are essential as this role acts as a liaison between laboratory staff and clients to address inquiries and facilitate smooth operations.

Working hours are Monday through Friday from 8:30 a.m. to 5:00 p.m., offering employees a predictable schedule with a focus on work-life balance. Job Requirements

  • High school degree or equivalent
  • Minimum 5 years of administrative experience in office setting
  • Authorization to work in the United States indefinitely and without restriction or sponsorship
  • Proficient in MS Office
  • Excellent communication skills with the ability to interact professionally with clientele
  • Ability to work in a high volume environment
  • Ability to stand and sit for various lengths of time
  • Ability to lift up to 25lbs
  • Effective time management, organizational skills, and ability to multitask and prioritize with minimal assistance

Job Duties

  • Receive environmental samples and enter Chain of Custody into LIMS system
  • Review paperwork for all incoming samples to ensure completeness and correctness
  • Quality control of samples to ensure sample integrity
  • Transfer samples based on priority to appropriate custody locations
  • Answer high volume phone calls and assist with client calls and inquiries
  • Perform clerical duties including filing, faxing, assisting clients, scanning, mailing
  • Coordinate and perform sample-related activities including shipping and receiving, processing and administration
  • Generate reports, invoices, and enter data produced by analysts into computer systems for final client reports
  • Ensure final reports are prepared and results reported to clients in a timely manner
  • Assist with internal and external client questions via phone, e-mail, and in person
  • Act as liaison between clients and laboratory staff
  • Perform other responsibilities as assigned by the manager
