The role of Irrigation Administrator is a full-time position offering hourly pay ranging from $24 to $25 per hour dependent on experience. The Irrigation Administrator is responsible for processing completed work orders, maintaining accurate client and service logs, and supporting the technicians through communication of job details and schedule updates. This position requires proficiency in various software tools such as Google Workspace and Microsoft Office, as well as the ability to manage high volumes of digital files and data entry with precision.
Seasonal responsibilities are a key component of this role, requiring flexibility and efficiency during peak times such as spring start-up season, summer repair season, fall winterization season, and winter planning and reconciliation season. In each of these periods, the Irrigation Administrator plays a vital role in managing service requests, assisting technicians with preparation, coordinating high volumes of scheduling and billing, and maintaining clean and organized digital records to support operational success. In addition to the technical and administrative skills, the position demands strong communication with clients, including those experiencing irrigation emergencies or property leaks, ensuring professional, clear, and empathetic interactions.
Safety compliance is a fundamental aspect of the job, including adherence to OSHA regulations, use of personal protective equipment as necessary, incident reporting, and participation in safety training. The ideal candidate will demonstrate excellent organizational skills, reliability, integrity, and a proactive approach to handling repetitive workflows without constant supervision. Job Requirements
- High school diploma or equivalent
- minimum of 3 years relevant customer service or administrative experience
- ability to lift up to 35 lbs
- hand-eye coordination and mobility for detailed computer work
- able to sit, walk, stand, bend, and reach throughout the day
- close vision and color vision for extended computer work
- able to communicate clearly over telephone in a busy office
- able to work in a fast-paced, high-volume environment
- no special certifications required
Job Qualifications
- High school diploma or equivalent
- minimum of 3 years relevant experience in customer service or administrative roles
- experience in trade, construction, or landscape dispatch/service office preferred
- proficient in Google Workspace apps and Microsoft Office

Job Duties
- Receive incoming irrigation service requests via phone and email
- gather initial job details and triage urgency
- collect required documentation or signed contracts before scheduling
- reach out to clients to confirm scheduled appointments and notify them of delays
- verify completed work orders and service tickets
- ensure technician notes, parts used, and hours are accurate
- prepare and draft billing statements and invoices
- communicate basic job details and gate codes to technicians
- assist with scheduling updates and documentation
- keep client account notes and communication logs updated
- attend weekly service meetings and document notes
- assist in sending out service agreements for recurring contracts
- assist with cross-referencing technician timecards with work orders
- manage seasonal responsibilities such as handling activation calls, pre-populating files, coordinating blowout schedules, and data cleanup
- follow OSHA regulations and report hazards
- use personal protective equipment and participate in safety training
