The position of Inventory and Marketing Coordinator at Arkansas Veterinary Emergency & Specialists presents a unique opportunity for an experienced, driven, and dynamic professional to join the team and contribute to the hospital’s ongoing success. Reporting directly to the Hospital Manager, the role is integral in supporting hospital operations by managing inventory control and coordinating marketing efforts that highlight the hospital’s superior clinical care and customer service. This position requires a motivated and energetic individual who is not only professional and knowledgeable but also compassionate and team-oriented. The successful candidate will take part in organizing community outreach events, driving marketing communications to referring veterinarians, supporting recruitment initiatives, and assisting in various administrative and financial tasks essential to the smooth functioning of the hospital.

As the Inventory and Marketing Coordinator, your role will include coordinating hospital involvement in community events, managing social media and marketing materials, assisting with continuing education seminars, and overseeing special staff and client appreciation activities. You will play a crucial role in maintaining the hospital’s compliance with licensure requirements and ensuring accurate local accounting processes, including inventory management and vendor negotiations. Additionally, this position occasionally involves after-hours and weekend responsibilities, underscoring the dynamic and collaborative nature of the work environment.

Job Requirements

  • High school diploma or equivalent
  • minimum 2 years experience in veterinary medicine
  • administrative experience or specialty preferred
  • proficiency in word processing or publication software such as Microsoft Word and Publisher
  • strong customer service skills
  • strong written and verbal communication skills
  • ability to work independently and as part of a team
  • willingness to travel as position requires
  • ability to work with or around sick animals, hazardous materials, cleaning chemicals, gas anesthetics, zoonotic diseases, and unpleasant odors
  • ability to perform physical tasks including lifting up to 50 pounds and periods of standing, walking, crouching, or kneeling
  • reliable attendance for scheduled daytime shifts, some nights, weekends, and holidays.

Job Duties

  • Organizes hospital involvement in community events including committee participation, transportation of marketing materials to events, and working at event booths
  • conveys hospital announcements and updates to referring veterinarians via direct mailings, email, and fax distribution
  • assists hospital managers with reviewing and evaluating new and ongoing marketing opportunities
  • assists hospital managers with veterinary recruiting, including ad placement and coordinating travel arrangements and hospitality for interviewees
  • coordinates clinic visits and other promotional activities for newly hired veterinarians
  • assists with continuing education seminars in the local area as needed
  • orders marketing materials including pens, magnets, brochures, letterhead, and business cards
  • updates website, brochures, and other marketing materials as directed by management
  • coordinates special events for staff and referring veterinarians including holiday gifts, cards, and luncheons
  • monitors budgets and coordinates the purchase of equipment and supplies, and oversees maintenance of the facility
  • responsible for all local accounting functions ensuring daily financial information is accurate
  • oversees management of inventory ensuring proper documentation and systems are in place
  • may establish and oversee billing practices and reviews and maintains accuracy of billing and charge capturing
  • may be responsible for contracts or negotiations with new vendors
  • maintains compliance with current licensure and updates licenses for DVMs
  • works with PetVet Care Centers support team to ensure compliance with all administrative responsibilities
  • assists with submitting contract veterinarian invoices, submitting local vendor invoices, and obtaining quotes
  • responsible for quarterly inventory counts and reconciliations
  • responsible for monthly statements, accounts receivable, and working alongside collections for ongoing billing efforts
  • performs other duties as assigned by manager.
