The Internal Events Coordinator role at Populous offers a unique opportunity to join this dynamic team by managing and orchestrating internal events that enhance company culture and engage both staff and guests. This position is based in Kansas City and focuses on leading the coordination and seamless execution of various internal events such as Speaker Series, Lunch & Learns, All Staff meetings, and other office programming initiatives. Additionally, the coordinator supports broader event initiatives across the Americas, dealing with logistics, vendor coordination, security, and guest management to ensure every event reflects Populous's standards of quality and hospitality.

As an Internal Events Coordinator, you will be responsible for managing all aspects of event logistics—from approvals and scheduling to setup and breakdown—particularly within shared conference spaces and office venues. Collaboration with internal stakeholders is crucial, especially for food and beverage planning and ensuring venues are fully prepared with signage and necessary arrangements. You will serve as a pivotal liaison for vendors, caterers, and external partners, ensuring flawless communication and execution. Beyond logistical tasks, the role requires a proactive and solution-oriented mindset to anticipate needs and effectively respond to challenges, ensuring each event runs smoothly.

This position demands a highly organized, detail-oriented individual with outstanding communication skills and a positive, team-oriented approach to work. You will also have the opportunity to contribute to events involving external organizations and client-facing meetings, as well as provide support for leadership meetings and special events. Furthermore, the role involves occasional support for Americas-wide events, including travel coordination and managing meeting logistics outside the Kansas City office.

Job Qualifications

  • Bachelor's degree in a related field or equivalent experience
  • 1-3 years of experience in event coordination hospitality or administrative support
  • Proficiency in Microsoft Office programs particularly Outlook, Word, Excel, and PowerPoint
  • Outstanding communication skills

Job Duties

  • Leading coordination and execution of Populous Kansas City events including Speaker Series, Lunch & Learns, All Staff meetings, and office programming
  • Supporting events with external organizations and internal client-facing meetings
  • Coordinating event logistics across office spaces including shared conference areas
  • Managing event approval processes scheduling and location coordination
  • Coordinating food and beverage planning with internal stakeholders
  • Arranging guest access parking and security logistics
  • Ensuring event spaces are fully prepared including signage setup and vendor coordination
