The Intake & Scheduling Specialist role at BCD M&E is a pivotal position within the organization, focused primarily on client interaction and logistical coordination. This specialist acts as the primary point of contact for clients seeking to book meeting and event spaces, playing a crucial role in qualifying meeting requests and understanding the specific requirements of each event. Responsibilities include assessing venue suitability based on client needs such as attendance size, required amenities, and budget, as well as coordinating with venue managers and event planners to schedule appropriate spaces. The goal is to efficiently maximize venue utilization while ensuring client satisfaction throughout the booking process.

An ideal candidate for this role will be highly detail oriented, customer service-focused, and possess strong teamwork abilities. The position requires excellent communication skills to maintain clear and ongoing client interactions, alongside robust organizational capabilities to manage multiple projects and deadlines effectively. This role offers hybrid work arrangements with an emphasis on flexibility, located primarily in Portland, OR, and includes the possibility of travel up to 50% to meet client and operational needs. The salary range for this position is approximately $26.44 to $28.85 per hour, depending on experience, qualifications, and location.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in customer service, hospitality, event planning, or related field
  • Proficient in using scheduling software, CRM systems, and Microsoft Office Suite
  • Excellent communication and interpersonal skills
  • Ability to manage time effectively and prioritize multiple projects
  • Detail-oriented with strong problem-solving abilities
  • Willingness to travel up to 50%
  • Ability to work in a hybrid work environment based in Portland, OR
  • Available to work standard hours from 8:30 AM to 5:30 PM with one-hour break

Job Qualifications

  • Previous experience in customer service, hospitality, event planning, or related field with knowledge of meeting and event logistics
  • Excellent communication and interpersonal skills for engaging clients, venue managers, and stakeholders
  • Strong organizational and time management skills with ability to prioritize and manage multiple projects in a fast-paced environment
  • Attention to detail and problem-solving skills with ability to analyze client needs and recommend solutions
  • Proficiency in scheduling software, CRM systems, and Microsoft Office Suite including Outlook, Excel, and Word
  • Bachelor's degree in hospitality management, business administration, event management, or related field preferred

Job Duties

  • Act as initial point of contact for clients requesting meeting and event spaces, gathering information such as event dates, attendance estimates, and audiovisual needs
  • Assess client needs and event specifications to determine suitable venue spaces considering capacity, amenities, and budget
  • Coordinate with venue managers and event planners to schedule appropriate spaces based on availability, room configuration, and logistics
  • Collaborate with internal teams to ensure smooth event handover by communicating event details and timelines
  • Maintain ongoing communication with clients providing updates, handling inquiries, and confirming booking details
  • Strategically allocate venue spaces to maximize utilization and revenue while balancing client and operational needs
  • Maintain accurate records of client interactions, event bookings, and venue data, generating reports for tracking and decision-making
