The role of Institutional Events Coordinator at FRCC is a full-time, professional technical position situated at either the Larimer Campus in Fort Collins or the Westminster Campus. This position is integral to the implementation of FRCC's 2025–2030 Strategic Plan, particularly focusing on the college’s commitment to inclusive and student-centered experiences. The coordinator will play a pivotal role in organizing, managing, and supporting campus-wide and community-focused events designed to foster engagement, belonging, and connection to institutional resources for students, employees, and community members. The role includes managing event space scheduling across all three campuses, ensuring compliance with college policies, safety regulations, and risk management criteria, and partnering closely with various campus departments to facilitate smooth event execution. Additionally, this position involves administrative duties like budgeting, tracking revenue and expenses, and maintaining detailed records related to event operations. The Institutional Events Coordinator also contributes to the evaluation and continuous improvement of events through data collection, assessment, and feedback implementation, as well as engaging in student staff mentorship and professional development activities. The role supports external partnerships and community collaborations that enhance FRCC's regional impact and aligns event operations with the college’s mission to provide exceptional educational experiences. While primarily requiring a strong on-campus presence with occasional remote work opportunities, the position may require travel between campuses and necessitates Colorado residency at the time of employment. The salary range for this role is $50,736 to $53,273 annually, reflecting the candidate's education, experience, and the position's complexity, with benefits aligned to administrative, professional, and technical employees at FRCC.

Job Requirements

  • Associate degree and two years of experience event management or related field
  • Or bachelor’s degree and demonstrated experience within event management or related field
  • Ability to travel to all campuses when needed
  • Ability to work flexible hours with occasional evening and weekend commitments

Job Duties

  • Serve as the initial point of contact for event organizers including faculty, staff, and external clients
  • Manage scheduling and reservation of event spaces on all campuses using the Ad Astra room management system
  • Review and determine event spaces compliance with insurance and risk management criteria
  • Ensure events comply with college policies, safety regulations, and permits
  • Partner with Student Life to verify space availability and resolve conflicts
  • Gather client information and establish appropriate charges
  • Maintain communication with Manager of Institutional Events and Set Up Specialists regarding event details
  • Collaborate with Director of Institutional Events on budget tracking and fiscal policy adherence
  • Post events on Inside FRCC calendar and internal Events Team calendar
  • Maintain accurate records and documentation for departmental metrics
  • Liaise with Facilities, Public Safety, IT Services, and Marketing for event execution
  • Follow up with clients to improve future events and maintain event booking records
  • Implement program evaluation including surveys and feedback
  • Produce semesterly and annual reports with data insights
  • Assist with preparing and administering event evaluation surveys
  • Manage use of program management software
  • Assist staff and student employees with data collection and reporting
  • Collaborate with Data Science & Institutional Research
  • Develop and implement promotional strategies for events
  • Mentor and coach student leaders and staff
  • Participate in team-building and collaboration across departments.
