The Medical Receptionist I position at IHA is a full-time, day-shift role that serves as the first point of contact for patients and external customers both in the office and over the phone. This role is crucial for facilitating efficient patient flow and ensuring appropriate billing and service protocols are followed. The Medical Receptionist I is responsible for greeting patients, verifying insurance, preparing patient charts, scheduling appointments, and managing communications between patients, billing staff, and medical personnel. This role encompasses a variety of essential functions, from collecting payments to assisting with patient paperwork and maintaining a clean and organized work environment.

In addition to general duties, Medical Receptionists working with refugee patient populations provide specialized support including handling intake, scheduling, coordination with service providers, and ensuring translation services are accurately provided by qualified medical interpreters when necessary. Those involved in digital campaigns assist with follow-ups on applications and patient seminar registrations.

The position demands a courteous, service-oriented approach, excellent communication skills, and proficiency with electronic medical records and standard office software such as Microsoft Word, Excel, and Outlook. The ideal candidate will have 1-2 years of experience in a medical or customer service environment and the ability to work effectively in a team-oriented, respectful, and professional atmosphere. This role requires strong organizational skills, attention to detail, and the capacity to maintain patient confidentiality in compliance with HIPAA requirements.

Job Requirements

  • High school diploma or GED or valid work permit for ages 15-17
  • 1-2 years experience in medical or customer service environment preferred

Job Qualifications

Job Duties

  • Greets all individuals arriving at the office courteously and ensures their needs are met
  • obtains necessary patient registration information
  • verifies patient insurance eligibility
  • prepares charts for visits
  • notifies clinical staff of patient’s arrival
  • accurately completes patient forms
  • collects payment
  • ensures charges are posted to billing system
  • retrieves and files EMR/paper charts and reports
  • answers telephones and relays messages
  • schedules and confirms appointments
  • assists with clinic reschedules and patient contacts
  • communicates with leadership about overbookings
  • sends new patient paperwork via MyChart or mail
  • works daily Work Queue
  • may oversee payment and charge posting balancing
  • supports overdue report management and patient outreach
  • maintains a neat work area
  • supports other offices, attends meetings and training
  • performs other duties as assigned
  • provides intake and scheduling for refugee patient populations
  • communicates with service coordinators and providers
  • coordinates translation services
  • prepares intake and periodic reports
  • follows up on digital campaign applications
  • registers applicants for seminars
  • serves as primary contact for refugee patient staff
  • performs backup duties for Medical Reception team
  • promotes positive, professional work environment
  • complies with IHA policies and HIPAA guidelines
