We are currently seeking a motivated and detail-oriented Human Resources Administrative Assistant to join our team on a full-time basis. This vital role supports the Human Resources department by handling a variety of administrative and operational tasks that ensure the smooth functioning of HR processes throughout the organization. The HR Administrative Assistant will be instrumental in onboarding new hires, maintaining accurate employee records, assisting with recruitment efforts, and facilitating effective employee communications. This position demands a high level of accuracy, organization, and professionalism to ensure compliance with employment laws and regulations.
As a Human Resources Administrative Assistant, you will be at the forefront of welcoming and orienting new employees, guiding them through the initial steps of joining the company. You will manage personnel information in the HR management system, ensuring data integrity and up-to-date records. Additionally, you will support the recruitment process by posting job openings and closing positions once filled. Your role will also extend to maintaining personnel files in compliance with company policies and legal standards, providing essential administrative support such as document preparation, scheduling HR appointments, and administering employment-related tests.
This position requires strong interpersonal skills as you will act as a key liaison between employees, department managers, and job applicants, providing necessary information and assistance. Your ability to multitask and prioritize will be critical, especially in a fast-paced environment where demands can change rapidly. Furthermore, a professional demeanor and commitment to customer service will help you succeed as you represent the Human Resources department within the dealership.
The Human Resources Administrative Assistant must have a good understanding of federal, state, and local employment laws, including EEOC, ADA, COBRA, FLSA, IRS regulations, and other necessary compliance measures. This knowledge ensures that the dealership adheres to legal standards and minimizes risk. You will also have opportunities for professional growth by attending training sessions and participating in team meetings designed to enhance HR policies and practices.
This role requires fluency in both English and Spanish, enabling effective communication across our diverse workforce. It also demands proficiency in computer applications such as spreadsheets, tables, and document creation to manage the workload efficiently. Candidates with previous experience or familiarity with the automobile industry and dealership operations will find this role particularly suited to their background.
The working environment predominantly features office-based tasks involving extensive use of computers, phones, and other standard office equipment. Job Requirements
- High school diploma or equivalent
- Strong computer skills including spreadsheet and document management
- Fluency in English and Spanish

Job Duties
- Welcome new employees by conducting orientations and processing new hire documentation
- Ensure new employee checklists are completed
- Maintain accurate employee records by entering and updating employment and status-change information in the HR management system (HRMS)
- Support the recruitment process by posting job openings and closing when filled
- Maintain personnel files in accordance with organizational and record retention standards
- Provide administrative and clerical support, including document preparation, filing, answering phones, relaying messages, and maintaining office supplies
- Serve as a point of contact for employees, department managers, and job applicants by providing information and assistance as needed
- Administer employment-related tests and assist with scheduling HR appointments
- Add employees to DMS system as needed
- Contribute to overall team effectiveness by assisting with additional HR tasks as assigned
- Run and file reports as needed
- Understand and comply with federal, state, and local employment laws and regulations, including but not limited to EEOC, ADA, COBRA, FLSA, IRS, and applicable tax and reporting requirements
- Attend scheduled meetings and training sessions as required
- Perform other duties as assigned by the Human Resources Director or leadership
