The HR & Operations Coordinator position at Destination Madison is an essential role that supports the human resources and operational facets of the organization. This full-time role is designed for a detail-oriented, technologically adept, and highly collaborative individual who is committed to confidentiality and accuracy. The coordinator plays a key part in facilitating recruitment, managing employee relations, overseeing benefits administration, and handling day-to-day office management tasks. Acting as the central contact for applicant communications, this role coordinates talent acquisition including job postings, phone screenings, and interview scheduling. Additionally, the coordinator ensures a positive onboarding experience by organizing schedules, preparing necessary documents, and delivering orientation content in partnership with internal departments.
Beyond recruitment, this position administers the organization's HRIS and timekeeping systems to maintain precise employee records in accordance with legal and internal requirements. As a backup for payroll processing, the coordinator assists the accounting team and manages benefits enrollment and changes through effective communication with service providers. Operationally, the role contributes to a smoothly functioning office environment by liaising with facility vendors, managing supplies, organizing meetings, and supporting visitor facilitation. The HR & Operations Coordinator also helps nurture employee culture by coordinating recognition initiatives, supporting internal committees, and organizing staff events. The role demands strong organizational skills, flexibility to manage multiple priorities and deadlines, and a proactive attitude towards process improvement and learning new tasks. Job Requirements
- Bachelor’s degree in human resources or related field or equivalent experience
- 1-2 years of relevant work experience
- Knowledge of HR practices employment law payroll processes and benefits administration
- Experience with HR software and Microsoft Office
- Effective communication skills
- Strong attention to detail and commitment to confidentiality
- Excellent organizational and time management skills
- Ability to manage multiple priorities and deadlines
- Flexibility to work primarily in-person in downtown Madison office
- Ability to sit for long periods and lift or move up to 25 pounds occasionally
Job Qualifications
- Bachelor’s degree in human resources or a closely related field or equivalent combination of education and experience
- Knowledge of HR practices employment law payroll processes and benefits administration
- Prior experience with HR software Microsoft Office and other digital systems
- Effective communication skills across a variety of settings audiences and channels
- Strong commitment to detail quality and accuracy with the ability to handle and maintain confidential information
- Excellent organizational and time management skills with ability to prioritize commitments and manage multiple deadlines

Job Duties
- Coordinate the talent acquisition process including managing job postings conducting phone screens scheduling interviews and representing Destination Madison as primary contact for applicant communication
- Facilitate new hire onboarding process including coordinating schedules preparing paperwork delivering orientation content and collaborating with internal departments
- Serve as primary administrator for the HRIS timekeeping system and maintain accurate employee data in compliance with legal and organizational requirements
- Support payroll processing as backup to Accounting as needed
- Assist with benefits administration including employee enrollment changes and communication with service providers
- Maintain a well-functioning office environment by leading communication with facility vendors ordering supplies coordinating organization-wide activities assisting with meeting setup and facilitating office visitors
- Support various employee culture initiatives such as staff recognition internal committees and employee event coordination
- Complete other duties and projects as assigned
