Job Requirements

  • High school degree or equivalent
  • Minimum 1 year experience in administration or office management
  • Minimum 1 year experience working directly with diverse, low-income, homeless or formerly homeless population
  • Minimum typing speed of 50 w.p.m.
  • Thorough working knowledge of Microsoft Office Suite
  • Ability to complete paperwork accurately and write business correspondence
  • Demonstrated problem-solving skills
  • Experience working within databases and excellent data entry skills
  • Experience working with clients with mental health and substance use issues
  • Ability to perform basic math calculations with minimal mistakes
  • Ability to read, understand, and apply language from manuals, policies, technical procedures, and instructions
  • Demonstrated customer service and reception skills
  • Ability to read, communicate orally, and write in English
  • Ability to handle multiple tasks simultaneously in a fast-paced environment
  • Demonstrated organizational and filing skills
  • Ability to walk a distance of up to 1.5 miles while performing errands
  • Ability to clearly explain services, operations, and office rules while listening effectively to client, tenant, staff, and visitor requests
  • Must pass all post-contingency offer background checks, reference checks, and TB screening clearances
  • Experience working in non-profit or public sector preferred
  • Bilingual abilities preferred

Job Duties

  • Greet tenants/clients, staff and visitors warmly to the office, direct clients to appropriate staff and services
  • Check-in tenants and clients via the automated queuing system
  • Answer main phone line in a warm and helpful manner, transfer calls on a multiple phone line system
  • Safeguard tenant/client and agency monies and be accountable for check security policies
  • Photocopy, fax, file, sort checks, and perform miscellaneous administrative tasks
  • Conduct administrative and preparation tasks for all Housing Department programs associated with Check Day, Quick Check, and the Rental Payment Period (Group Rent) efficiently and supportively
  • Support THC's tenant/client intake process by opening files for new and/or returning tenants/clients, collecting and filing all documents, sending copies to appropriate staff, ordering background checks and emailing results
  • Review and enter program withdrawals, close tenant/client files, and maintain an organized archival system
  • Distribute checks and collect rent at the “Check Table” during “Check Week
  • ” Assist with interim and annual tenant recertifications to determine 30% rent rate
  • Monitor, track and complete annual recertifications for the Galvin Apartments
  • Assist with the lottery and lease up process for the Galvin Apartments
  • Assist in administering rent payments to landlords and disbursements to tenants/clients to maintain housing
  • Deliver checks to MPP satellite sites and/or hotels/landlords timely and accurately
  • Manage all incoming and outgoing mail including pickup, delivery, sorting, stamping and distribution
  • Order office and breakroom supplies, maintain inventory, and organize storage and break areas
  • Enter and track maintenance work orders for Housing Services
  • Respond to phone messages, tenant/client requests, staff requests, and emails promptly
  • Maintain confidentiality of client records and concerns
  • Attend and participate in all scheduled meetings as requested
