Job Description

We are currently seeking a motivated and detail-oriented Banquet Coordinator to join our team. The role primarily involves overseeing the preparation and setup of equipment required for guest functions, ensuring all aspects are accurate and complete before the staff arrives to set up rooms. This position plays a crucial role in supporting the banquet staff to arrange guest and buffet tables correctly, adhering carefully to Banquet Event Orders (BEOs) to meet all specific guest requests and needs. The Banquet Coordinator is responsible for scheduling staff assignments before meals and at function stations, clearly communicating any special instructions or requests to the team. This role requires active collaboration with kitchen staff, inspecting food quality and presentation before service, and ensuring seamless communication to adjust to any changes or specific demands.

The ideal candidate will demonstrate strong verbal and written communication skills, a high work ethic, self-initiative, and the ability to perform professionally in high-pressure situations. Flexibility is essential as the role may require working varying schedules, including nights, weekends, and holidays. A fundamental part of the duties involves interpreting BEOs accurately to verify room setups and menus served, ensuring all details align with client expectations.

This in-office role demands the ability to work in a standard office environment, including prolonged periods of sitting at a desk and working on a computer (6-8 hours daily), with occasional standing and walking as part of the function setup. Candidates should have fine motor skills for tasks such as typing, using a mouse or trackpad, writing, and operating office equipment. Physical demands also include occasionally standing, walking, bending, reaching, or carrying items, with the ability to lift or move 10 to 25 pounds as needed. Effective verbal and written communication skills are imperative, as is the ability to read computer screens and printed materials with close visual focus and color differentiation. Job Duties

  • Make arrangements for equipment needed for guest functions ensuring its accuracy and completeness prior to staff arrival for room set up
  • Assist banquet staff in room set up making sure all guest tables buffet tables and equipment are set up correctly
  • Ensure all requests and needs are met referencing BEOs
  • Schedule staff for pre-meal assignments and function stations informing them of any special request or special instructions
  • Inspect food for quality and presentation prior to serving
  • Keep open communication with kitchen staff informing them of any changes or special instructions
