The role of Travel and Hotel Coordinator at UniverSoul Circus is an essential position that requires a highly skilled professional to manage the intricate logistics involved in touring productions. This position is responsible for overseeing the planning, directing, and coordination of travel arrangements and hotel accommodations for performers, crew members, management, and support staff as they move between national and occasionally international tour locations. The role demands exceptional organizational skills, strong negotiation capabilities, and the ability to thrive in a fast-paced, constantly changing environment typical of live entertainment touring.
The Travel and Hotel Coordinator works closely with multiple teams to ensure the smooth transportation and lodging experience for all personnel. This includes coordinating ground transportation between airports, hotels, venues, and rehearsal spaces, as well as sourcing, negotiating, and securing hotel contracts in each tour city. Special attention is given to rooming lists and individualized requirements such as family accommodations and accessibility needs. This position also plays a critical role in managing the travel and accommodation budget, negotiating group rates, and securing long-term contracts that benefit the company financially.
Additionally, the Travel and Hotel Coordinator acts as the primary point of contact for all travel-related inquiries, handling unexpected challenges such as cancellations, missed connections, lost luggage, and other travel disruptions with professionalism and efficiency. They maintain emergency contact lists and travel insurance documentation to safeguard staff in the event of emergencies. This role reports to the Supervisor and/or Executive Team and performs other duties as needed to support the success of the touring production.
Ideal candidates for this position will have a bachelor’s degree in Hospitality Management, Tourism, Business Administration, or a closely related field, although equivalent education combined with relevant experience will also be considered. Candidates should bring a minimum of five years of experience in travel coordination, tour management, hospitality, or live entertainment touring, with a strong preference for those experienced in large group and international travel logistics. Experience within live entertainment, circus environments, touring productions, or managing large-scale events is highly advantageous.

Job Requirements
- Bachelor’s degree with a concentration in Hospitality Management, Tourism, Business Administration or closely related field preferred
- minimum of five years work experience in travel coordination, tour management, hospitality, or live entertainment touring or related discipline or equivalent combination of education, training and experience
- experience with large group travel logistics
- international travel coordination experience highly preferred
- ability to operate in a fast-paced, constantly changing touring environment
- strong organizational and crisis management skills
- excellent negotiation and communication abilities
Job Qualifications
