Located in Chicago, Polsinelli is currently seeking a full-time Hospitality Coordinator to join its vibrant office team. This role plays a crucial part in enhancing the daily experience of both clients and internal staff by managing the logistics of hospitality services within the office. The Hospitality Coordinator acts as the central point of contact for coordinating meetings, planning events, and ensuring that all hospitality arrangements run smoothly to meet the needs of the firm’s professionals and guests. This position requires a proactive individual who enjoys working with people, is highly detail-oriented, and can manage multiple tasks simultaneously in a fast-paced office environment.

The Hospitality Coordinator’s responsibilities include overseeing the scheduling and usage of multi-purpose and meeting rooms, collaborating closely with the Regional Hospitality Manager and Office Administrator to plan and execute office events, managing vendor relationships, and ensuring that all food, beverage, and audio/visual requirements are flawlessly handled. This role also involves direct interaction with clients and staff to provide expert advice on catering options and room setups, maintaining cleanliness and organization of common areas, and supporting marketing-sponsored events, including those held after business hours.

This full-time position offers a competitive salary range of $65,000 to $80,000 annually. Job Requirements

  • 2 years of experience working in hospitality services
  • Bachelor's degree and/or law firm experience preferred
  • Outgoing courteous professional and dependable
  • Excellent people and communication skills
  • Ability to change directions quickly as workflow needs change
  • Experience using Outlook and Word

Job Qualifications

  • Bachelor's degree preferred
  • Minimum of 2 years of experience in hospitality services
  • Experience working in or with law firms preferred
  • Proficient in Microsoft Outlook and Word
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Ability to adapt quickly to changing workflows

Job Duties

  • Coordinate schedule and plan usage of meeting rooms for internal and external clients
  • Collaborate with Regional Hospitality Manager and Office Administrator on planning and execution of office events including vendor and catering communication and AV set-up
  • Manage logistics for internal and external meetings including food and beverage orders, set up, and audio/visual needs
  • Consult with meeting contacts to clarify event requests and provide advice regarding catering and room setup options
  • Handle beverage service including setup, refreshing hospitality items, and clean-up
  • Support firm and marketing sponsored functions including after-hours events with setup, cleanup, and caterer coordination
  • Maintain professional demeanor and provide excellent customer service to clients, attorneys, and staff
  • Develop relationships with caterers and vendors to ensure cost-effective and high-quality services
  • Process invoices related to food and beverage catering orders
  • Ensure cleanliness and organization of conference rooms, kitchens, reception areas, and other common spaces
  • Maintain supply inventories in kitchens, coffee areas, and conference rooms
  • Assist with backup receptionist duties as needed
  • Adhere to Firm processes and Standard Operating Procedures
  • Perform other assigned duties as necessary
