The Atlanta office of Polsinelli is currently seeking a full-time Hospitality and Event Coordinator to join its energetic team. This role centers around enhancing the internal and external client experience through meticulous event planning, coordination, and hospitality services. The successful candidate will play a pivotal role in managing the use of multiple meeting spaces, coordinating logistics for firm events, and providing exemplary customer service with a friendly and professional demeanor. The Hospitality and Event Coordinator will be responsible for scheduling and organizing the usage of the Multi-Purpose Room and meeting facilities, ensuring all internal and external client needs are met efficiently. They will collaborate closely with the Regional Hospitality Manager and Office Administrator, contributing to event planning, vendor communications, catering coordination, and audiovisual setup. Beyond event logistics, this role also involves maintaining hospitality areas, managing beverage services, and supporting marketing and firm-sponsored functions including after-hours events. Attention to detail, adaptability, customer service orientation, and the ability to manage multiple tasks simultaneously are crucial in this role.
This position requires a personable, professional, and dependable individual experienced in hospitality services, preferably with a background in a law firm environment. Candidates with excellent communication skills, proficiency in Microsoft Outlook and Word, and the ability to adjust quickly to changing workflow demands will excel. Job Requirements

Job Duties
- Coordinate, schedule, and plan usage of Multi-Purpose Room and meeting rooms for internal and external clients
- Collaborate and partner with Regional Hospitality Manager and Office Administrator on planning, set up, and execution of office events including vendor and catering communication, AV set-up
- Coordinate logistics for internal and external meetings and events, including food and beverage orders, set up, AV
- Consult with meeting contacts to clarify event requests and provide advice on catering, room set-up options, and logistics
- Handle beverage service including set-up, refreshing hospitality items, and clean-up
- Provide support for firm and marketing sponsored functions including after-hours events
- Maintain professional demeanor with emphasis on customer service
- Develop relationships with caterers, event planners, and vendors to ensure cost-effective and high-level service
- Coordinate and process invoices related to catering orders
- Ensure cleanliness and organization of conference rooms, reception areas, kitchens, restrooms, and common areas
- Maintain supplies in kitchens, coffee areas, conference rooms, and lobbies
- Assist in coverage for backup receptionist duties
- Adhere to firm policies and procedures
- Perform all other duties as assigned
