The Health Information Management (HIM) Physician Liaison at Houston Methodist plays a critical role in ensuring the completeness and accuracy of electronic medical records. This non-exempt position focuses on reviewing medical records for physician and provider deficiencies in accordance with hospital governance, accreditation requirements, and regulatory standards. The Physician Liaison serves as a key communication link between physicians, providers, and hospital departments, diligently monitoring the status of outstanding records and ensuring timely completion. Responsibilities include notifying physicians of pending record deficiencies, identifying and reporting physicians who have incomplete charts, and coordinating with hospital personnel to manage physician suspensions related to documentation non-compliance.

This role requires the liaison to be proficient in understanding medical record components, hospital regulations, and relevant privacy laws while demonstrating excellent interpersonal and communication skills. The liaison will utilize electronic record systems and document imaging technology to maintain deficiency tracking queues and ensure compliance with departmental productivity, timeliness, and quality standards. The position also involves collaboration with the transcription vendor, addressing transcription inquiries, and providing training and support to medical staff on electronic information systems.

Key responsibilities extend to overseeing dictation and transcription queues to ensure accurate and timely entry of physician documentation into the medical record system. The liaison also monitors records for physicians who are no longer with the organization to ensure proper administrative closure of outstanding records. In addition, this role supports smooth hospital operations by verifying that necessary documentation such as histories and physicals are complete prior to surgeries to avoid delays in patient care. Job Requirements

  • Associate’s degree in health information management or related field or additional two years of experience in lieu of degree
  • Two years of hospital health information management experience analyzing hospital medical records for physician record completion deficiencies
  • Experience with document imaging systems and dictation/transcription systems preferred
  • Demonstrates necessary job skills and competencies through assessments and evaluations
  • Proficient English speaking, reading, and writing skills
  • Effective communication with patients, physicians, and coworkers with a customer service focus
  • Knowledge of all medical record components
  • Proficient with PC software including MS Word and Excel
  • Working knowledge of hospital governing bodies and accreditation requirements
  • Excellent interpersonal and communication skills
  • Knowledge of state and federal privacy laws
  • Ability to work independently and be self-motivated
  • Excellent organizational skills

Job Qualifications

Job Duties

  • Review electronic medical records for physician and provider deficiencies based on hospital and regulatory guidelines
  • Communicate daily with physicians and providers regarding incomplete medical records
  • Monitor and verify physician record completion and notify appropriate personnel of pending records or suspensions
  • Assign deficiencies in the computerized online system and maintain deficiency tracking queues
  • Generate physician notification letters and maintain the physician letter database
  • Place non-compliant physicians on suspension according to governing rules and report to hospital departments
  • Monitor transcription and EHR queues to ensure proper documentation and correct dictation errors
