Job Description

The hiring establishment is a prestigious university located in New York City, well-known for its commitment to academic excellence and vibrant campus life. As a Higher Education institution, it fosters an inclusive and dynamic environment where employees can contribute meaningfully to the institution's rich traditions and community engagement. This role is specifically situated within the Office of the Secretary, University Ceremonies department, which is responsible for planning and executing the university's formal and celebratory occasions. The university takes pride in maintaining a high standard for its ceremonial events, often involving significant members of the academic and city community, making this position vital to the success of these important gatherings.

The role available is for a Temporary Ceremony Coordinator, a part-time position requiring approximately 20 hours per week with the possibility of additional hours as the event schedule intensifies. This contract position is designed for an open-ended engagement lasting over six months and is strictly on-site to facilitate hands-on coordination and support. The compensation ranges from $27 to $28 per hour, reflecting the specialized skills and experience required for coordinating complex events within a prestigious academic setting.

As a Temporary Ceremony Coordinator, the incumbent will be entrusted with supporting the intricate planning of the University's Presidential Investiture alongside a variety of other ceremonial functions throughout the academic year. This position offers an excellent opportunity for candidates who possess strong administrative capabilities, a passion for event coordination, and the ability to organize detailed information and execute plans efficiently. The coordinator will deliver crucial administrative and logistical support to the ceremonies team, helping to manage volunteers, coordinate guest services, oversee event-day operations, and conduct research on event traditions and best practices. Key responsibilities include facilitating communication among various stakeholders, managing RSVP systems, coordinating travel and hospitality arrangements, and ensuring flawless execution of day-of-event logistics.

Candidates with prior experience in project coordination, volunteer management, or event planning will find this role particularly suitable. The university values precision, organizational skills, and the capacity for independent work, so candidates should be detail-oriented and comfortable juggling multiple priorities simultaneously. Preferred qualifications include experience within higher education or university settings, familiarity with RSVP management tools, and proficiency in Microsoft Office and project management software such as Airtable. Notably, the position involves some evening and weekend commitments during peak event times, highlighting the need for flexibility and dedication.

This role is ideal for part-time job seekers seeking meaningful work in a vibrant academic environment, offering a competitive hourly rate, the chance to engage deeply with university traditions, and a collaborative work culture that emphasizes support and excellence. By taking on this role, the candidate will contribute directly to preserving and enhancing the ceremonial heritage of one of New York City's distinguished higher education institutions.
