The Health & Wellness Coordinator position at OIAA offers an exceptional opportunity to contribute to a dynamic and growing institution. This role focuses on supporting employee wellness initiatives by providing programmatic and administrative assistance to the Director of Health & Wellness or HR/Total Rewards leadership. The coordinator will be integral in executing wellness programs aimed at fostering a healthy, engaged, and safe workforce. Responsibilities include coordinating wellness events, maintaining program documentation, managing communications, tracking participation, and collaborating with various departments. The position requires excellent organizational skills, a strong service mindset, and the ability to juggle multiple tasks independently. This is a non-exempt, at-will role with a salary range from $61,800 to $77,250 annually and offers a generous benefits package that includes medical, dental, vision coverage, and employer contributions to retirement plans.
The Health & Wellness Coordinator supports programs such as the ONT Strong initiative, fitness challenges, and awareness campaigns. This role handles logistics like scheduling events, securing vendors, and providing onsite support. The coordinator also ensures the daily operations, safety, and welcoming environment of the employee fitness center, including equipment inspections and orientations. Communication duties involve drafting wellness-related content, responding to employee inquiries, and promoting engagement in health initiatives. Data collection and reporting on program outcomes are essential to assist leadership decision-making and continuous improvement efforts. Job Requirements
- High school diploma or equivalent
- three years involving wellness or gym-based experience
- knowledge of gym operations or fitness center environments
- event coordination experience
- ability to pass all background and reference checks, knowledge examinations, and aptitude tests required to obtain an OIAA employee badge
- CPR/AED certification or ability to obtain within 30 days of hire
- personal training certification or ability to obtain within 60 days of hire
- ability to frequently lift and carry weights up to 25 pounds
- ability to sit or stand for long periods
- finger dexterity to utilize a keyboard
- ability to work in climate-controlled and gym environments
- authorized to work in the United States
Job Qualifications
- High school diploma or equivalent
- associate's degree in business administration or health-related field preferred
- three years of experience involving wellness or gym-based roles
- knowledge of gym operations or fitness center environments
- event coordination experience
- proficiency in Microsoft Office Suite including Excel, Word, and PowerPoint
- experience with HRIS or procurement systems
- exceptional organizational skills with attention to detail
- outstanding written and verbal communication skills
- ability to work independently and multitask

Job Duties
- Assist in the implementation of wellness programs and initiatives
- coordinate logistics for wellness events including scheduling, materials, vendors, and onsite support
- maintain program calendars and ensure timely execution of initiatives
- provide direct support to the Director including scheduling meetings, preparing materials, and tracking action items
- maintain wellness program documentation, policies, and resources
- monitor daily operations of employee fitness center
- maintain a safe, organized, welcoming gym environment
- conduct routine inspections of equipment
- assist with gym orientations and compliance monitoring
- support invoice processing and vendor coordination
- draft and distribute wellness communications including emails, flyers, and intranet updates
- respond to employee inquiries regarding wellness programs and resources
- support engagement efforts by promoting participation and tracking feedback
- track participation and engagement metrics for wellness programs
- compile data and assist in preparing reports and presentations for leadership
- maintain accurate records of program outcomes and attendance
- partner with HR and Risk Management teams to support aligned initiatives such as ergonomics and safety awareness
- collaborate with various departments to enhance the overall employee experience
- perform other duties as assigned
