The Facility Operations Coordinator at GWCCA plays a critical role within the Campus Operations function, which is charged with ensuring that the facilities are operated safely, efficiently, and to the highest standards of quality. Reporting directly to the Campus Operations Manager, this role provides essential administrative coordination and operational support for an array of facility-related activities. The coordinator ensures that service requests are handled promptly, departmental records are meticulously maintained, reports are generated accurately, and operational logistics are managed smoothly.
This position serves as a linchpin for communication between Facility Operations teams and other campus departments, streamlining workflows and sustaining the operational readiness of the venue. Responsibilities include managing onboarding logistics, coordinating interviews and training sessions, monitoring event schedules and room readiness, processing invoices, and handling supply management and uniform distribution. The coordinator also supports operational quality programs that guarantee client-ready facilities before, during, and after events, playing a significant part in maintaining GWCCA’s reputation for excellence.

Job Requirements
- High school diploma or General Education Degree (GED) required
- Minimum three years of experience in administrative, operational support, or facilities role
- Experience coordinating administrative processes and maintaining records and reports
- Ability to manage multiple tasks and priorities
- Excellent communication skills
- Proactive problem-solving skills
- Strong organizational skills
- Ability to work collaboratively and maintain professional relationships
Job Qualifications
- High school diploma or General Education Degree (GED) required
- Associate’s degree in business administration, facilities management, or related field preferred
- Minimum three years of experience in administrative, operational support, facilities, or related role
- Experience supporting departmental operations and coordinating administrative processes
- Strong organizational and coordination skills
- Excellent written and verbal communication skills
- Ability to build and maintain positive working relationships
- Proactive and solutions-oriented approach
- Strong attention to detail with record-keeping ability
Job Duties
- Provide administrative coordination and support to the Facility Operations team under direction of Campus Operations Manager
- Support Facility Operations managers in consistent onboarding processes
- Coordinate interview schedules with hiring managers
- Coordinate required training enrollment and departmental orientation schedules
- Generate reports and dashboards on department financials, employee schedules, room inspection operations, and customer surveys
- Support and coordinate operational quality programs including pre-event room readiness, day-of-event refreshes, and post-event strike and recovery
- Administer quality assurance checks, maintain documentation and communication across departments
- Monitor event schedules to plan and adjust refresh and recovery activities ensuring timely execution and continuous process improvement
- Prepare documents, reports, presentations, and correspondence
- Assist team members with IT Service Desk ticket submissions and tracking
- Manage uniform distribution and inventory and process invoices tracking budget expenses
- Initiate and enter purchasing requisitions, track approval workflows, and coordinate with purchasing and vendors
- Order, track, and maintain asset inventory of departmental supplies
- Maintain organized records and documentation
- Coordinate administrative activities and communications between Facility Operations and other campus departments
- Participate in departmental meetings and training programs
- Maintain a professional image reflecting GWCCA philosophy
- Perform additional duties and special projects as assigned
