In addition to acting as the first point of contact for visitors, the Guest Services Representative assists with administrative functions such as purchasing supplies, supporting emergency preparedness plans, processing invoices, and maintaining the local office website content. Job Duties
- Answer telephones clearly and concisely
- Check general voice mailbox daily and forward messages appropriately
- Greet visitors with enthusiasm and record/log attendance
- Escort guests to conference rooms as needed
- Schedule visiting offices and coordinate secretarial support
- Maintain and update reservation details for conference rooms
- Collect visitor information and send access confirmation emails
- Coordinate logistical requirements for office functions including meal and beverage setup
- Assist clients with local restaurant reservations and transportation needs
- Maintain and update office floorplan and office-wide amenities
- Collaborate with management to resolve conference scheduling conflicts
- Maintain a neat, secure reception area and manage security badge logs
- Arrange for facility maintenance and submit work orders
- Assist with purchasing function and supply vendor orders
- Support emergency preparedness plans and safety training
- Process and code vendor invoices
- Serve as content coordinator for local office webpage
- Maintain awareness of office events and circulate daily visitor emails
- Perform additional duties as assigned
