The Guest Services Representative position at Cooley holds a vital role within the Facilities/Office Services Team. This role is instrumental in establishing and maintaining effective working relationships, providing outstanding customer service to all clients, visitors, and internal employees. The responsibilities encompass greeting guests with enthusiasm and professionalism, coordinating meeting logistics such as space reservations, catering, and AV/technology needs, and acting as a seamless point of contact between multiple departments including Operations and Technology. Additionally, the Guest Services Representative supports office administrative duties, maintains building security protocols, manages visitor registrations, and assists with emergency preparedness activities.

The position requires a high level of organization and communication skills, coupled with the ability to solve operational challenges effortlessly. The work schedule is full-time at 40 hours per week, with an hourly pay range between $30.00 and $36.00, translating to an annual salary of approximately $62,400 to $74,880, depending on experience and location.

As part of the job, the Guest Services Representative leverages technology platforms like Zoom and iManage for meeting coordination and visitor management. They also assist with various facility maintenance tasks in collaboration with the on-site property manager, ensuring the workspace remains safe, orderly, and fully functional. The role demands attentiveness to details such as maintaining office floor plans, processing vendor invoices, coordinating office supplies ordering, and supporting internal communication initiatives like managing the local office webpage and distributing visitor emails.

Job Requirements

  • High school diploma or equivalent
  • Availability to work overtime as required
  • Familiarity with international and long-distance calls
  • After orientation, proficiency in Microsoft Office and firm software
  • Strong communication skills in English
  • Ability to work under pressure in deadline-driven environments
  • Ability to maintain confidentiality
  • Capable of working independently and escalating issues appropriately

Job Duties

  • Answer telephones clearly and concisely using a friendly and professional tone
  • Check general voice mailbox daily and forward messages appropriately
  • Greet and log visitors enthusiastically and escort guests to conference rooms
  • Schedule and coordinate visiting offices and secretarial support
  • Maintain and update reservation details for conference rooms and coordinate with relevant teams
  • Register visitors for building access and send confirmation emails
  • Coordinate logistical requirements for meetings including catering and AV services
  • Assist with local restaurant reservations and transportation needs
  • Maintain office floorplan and collaborate on conflict resolutions
  • Maintain a secure and neat reception area and monitor security badge logs
  • Arrange for facility maintenance and submit work orders as needed
  • Assist with emergency preparedness and safety plans
  • Process and code vendor invoices
  • Manage office supplies orders and special requests
  • Serve as content coordinator for the local office webpage
  • Maintain awareness of office events and distribute visitor communications
