Job Requirements
- High school diploma or equivalent
- Availability to work overtime as required
- Familiarity with international and long-distance calls
- After orientation, proficiency in Microsoft Office and firm software
- Strong communication skills in English
- Ability to work under pressure in deadline-driven environments
- Ability to maintain confidentiality
- Capable of working independently and escalating issues appropriately

Job Duties
- Answer telephones clearly and concisely using a friendly and professional tone
- Check general voice mailbox daily and forward messages appropriately
- Greet and log visitors enthusiastically and escort guests to conference rooms
- Schedule and coordinate visiting offices and secretarial support
- Maintain and update reservation details for conference rooms and coordinate with relevant teams
- Register visitors for building access and send confirmation emails
- Coordinate logistical requirements for meetings including catering and AV services
- Assist with local restaurant reservations and transportation needs
- Maintain office floorplan and collaborate on conflict resolutions
- Maintain a secure and neat reception area and monitor security badge logs
- Arrange for facility maintenance and submit work orders as needed
- Assist with emergency preparedness and safety plans
- Process and code vendor invoices
- Manage office supplies orders and special requests
- Serve as content coordinator for the local office webpage
- Maintain awareness of office events and distribute visitor communications
