Job Qualifications

Job Duties
- Answer telephones clearly and concisely using a friendly and professional tone
- Check general voice mailbox daily and forward messages to appropriate attorneys or business professionals
- Greet visitors enthusiastically and record visiting personnel information
- Escort guests to conference rooms as needed
- Schedule visiting offices and coordinate secretarial support
- Maintain and update reservation details in firm software and coordinate with guest services, office services, and technology teams
- Collect and register visitor information for building access and send confirmation emails
- Coordinate logistical requirements for meetings including meal and beverage arrangements
- Assist clients and attorneys with restaurant reservations and local transportation
- Maintain and update office floorplan of assignments
- Collaborate with administration teams to resolve scheduling conflicts
- Know personnel and departments within the firm and provide appropriate information
- Maintain a neat, orderly, and secure reception area
- Manage security badge logs and visitor access
- Coordinate facility maintenance and submit work orders as needed
- Perform additional routine administrative duties as required
