The Guest Services position at Audi Northlake is vital in ensuring a positive and inviting environment for all guests. The role primarily involves administrative support within the sales department by accurately recording customer traffic and generating reports on critical sales process metrics. This position requires excellent interpersonal skills, organizational acumen, and the ability to interact professionally with both customers and staff. Although this job does not include supervisory responsibilities, it plays an essential role in facilitating smooth communication and operations within the dealership.
Key duties include managing reception functions such as answering and directing incoming phone calls courteously and efficiently, handling messages, and maintaining logs related to guest services, loaner agreements, dealer plates, and gas cards. The Guest Services representative is also responsible for walking the showroom regularly to offer refreshments and maintain a clean, safe, and comfortable environment. They actively contribute to maintaining high Customer Satisfaction Index (CSI) scores by fostering a friendly atmosphere and supporting team members.
In addition, this role involves using dealership management software to update records, produce daily performance and activity reports, and assist with new hire training when requested. - previous customer service experience

Job Duties
- Performs opening and closing Guest Services procedures
- answers incoming phone calls in a courteous, prompt, and professional manner
- directs phone calls to the appropriate person
- takes accurate messages
- directs customers to the appropriate person or department
- manages the desk log, phone up log, loaner agreement log, dealer plate log, and gas card log
- tracks and filters all incoming calls and takes messages
- communicates effectively with Guest Services Manager and Greeters
- reconciles/updates data entry with dealership software
- produces daily reports including Daily Update and Performance Metric reports
- walks around the showroom hourly to offer refreshments to guests
- provides a warm, positive and happy environment for guests, their children, and teammates
- helps maintain a clean and comfortable environment
- provides new hire Customer Management training when requested
- maintains CSI at or above company standards
- maintains an organized, clean and safe work area
- participates in required training
- records all hours worked accurately in company timekeeping system
- follows safeguards rules and regulations
- demonstrates the company’s core values
- complies with company policies and procedures
- observes all Federal, State, Local and Company safety rules and regulations in the performance of duties
- performs other duties as assigned
