This position involves handling routine office work and administrative duties essential to the daily operations of the resort. Working closely with the RV Resort Manager and other team members, the Guest Services Coordinator acts as the frontline representative of the resort, greeting guests, responding to inquiries, managing communications, and supporting sales and marketing efforts. The position offers $16 per hour and provides a dynamic work environment where attention to detail, customer service excellence, and organizational skills are paramount.\n\nAs a Guest Services Coordinator, you will be responsible for maintaining the smooth functioning of the administrative office, managing petty cash, processing payments, and overseeing essential records related to resident accounts and resort operations. You will greet and establish rapport with guests and prospective residents, addressing their comments, suggestions, and complaints with professionalism and care. Your involvement extends to assisting with guest reservations both in person and over the phone, ensuring office supplies are well-stocked, and supporting the planning and execution of resort events and activities. This multifaceted role requires excellent telephone skills, proficiency with property management systems like Yardi, and the ability to coordinate various administrative tasks efficiently.\n\nThe Guest Services Coordinator also plays a critical role in marketing and sales support by helping prepare marketing materials, referring prospective residents to the sales manager, and maintaining accurate records of approvals and prospect information. Additional duties include making collection calls for site rental payments, processing move-ins and move-outs, reviewing and coding invoices, and ensuring timely communication of resort policies and updates through newsletters and notices. Job Requirements

  • High school diploma or GED
  • 2 years in administrative experience
  • 6 months in previous experience using property management and/or reservation systems
  • 6 months in hotel or resort front desk experience
  • Strong customer service skills
  • Excellent telephone skills
  • Good problem solving skills
  • Professional appearance
  • Intermediate to advanced computer proficiency with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient manner
  • Must have a valid driver's license

Job Duties

  • Greets and establishes rapport with guests, current and prospective residents
  • Fields resort comments, suggestions, and complaints to the RV Resort Manager
  • Maintains the petty cash fund, ensuring to record expenditures in the proper accounts
  • Performs general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned
  • Collects and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi
  • records in the proper accounts and issues receipts
  • Prepare and distribute resort communications such as rule reminders, violation notices, newsletters, etc.
  • Assist with accepting guest reservations in person and via phone
  • Ensure office supplies are sufficiently stocked and prepare supply orders as needed
  • Assist with planning and coordinating guest and resident relations events and activities within the resort
  • Assist with the preparation of marketing materials
  • Make collection calls for site rental payments as directed
  • submit bad debt files to collections
  • Process resident move-ins and move-outs
  • Complete and maintain resort records, reports, and files
  • Refer sales prospects to the RV Resort Manager and/or Sales Manager and enter prospect information into property management/reservation system in a timely manner
  • Obtain approvals on prospective resident applications
  • track all approvals and denials
  • Assist prospective residents by checking the status of Sun Homes inventory
  • review home listings, show homes, and assist with rental applications
  • Review and code invoices and other payables
  • submit to manager approval
  • Other duties as assigned
  • Check guests in and out for their reservations
  • Greet and establish rapport with guests, current and prospective residents
  • Field resort comments, suggestions, and complaints to resort leadership
  • Maintain petty cash fund
