The role of Guest Services Coordinator at Sun Outdoors is vital to ensuring the smooth operation and exceptional service delivery at one of our popular resorts. This position involves handling routine office and clerical tasks efficiently while serving as the welcoming face of the resort. The Guest Services Coordinator interacts extensively with current and prospective guests and residents, addressing their questions, concerns, and feedback. This role requires someone with excellent customer service skills, strong organizational abilities, and a professional demeanor, as well as proficiency in administrative and property management tasks. Responsibilities include managing the petty cash fund, processing payments and deposits, coordinating communications, assisting with reservations, maintaining office supplies, and supporting event coordination activities. Additionally, the coordinator aids in marketing efforts, manages resident move-ins and move-outs, and participates in various operational procedures to help maintain the resort's standards and customer satisfaction.

Job Requirements

  • High School Diploma or GED
  • 2 years in administrative experience
  • 6 months in previous experience using property management and/or reservation systems
  • 6 months in hotel or resort front desk experience
  • Strong customer service skills
  • Excellent telephone skills
  • Good problem solving skills
  • Professional appearance
  • Intermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient manner
  • Must have a valid driver’s license

Job Duties

  • Greets and establishes rapport with guests, current and prospective residents
  • Fields resort comments, suggestions, and complaints to the RV Resort Manager
  • Maintains the petty cash fund, ensuring to record expenditures in the proper accounts
  • Performs general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned
  • Collects and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi
  • records in the proper accounts and issues receipts
  • Prepare and distribute resort communications such as rule reminders, violation notices, newsletters, etc.
  • Assist with accepting guest reservations in person and via phone
  • Ensure office supplies are sufficiently stocked and prepare supply orders as needed
  • Assist with planning and coordinating guest and resident relations events and activities within the resort
  • Assist with the preparation of marketing materials
  • Make collection calls for site rental payments as directed
  • submit bad debt files to collections
  • Process resident move-ins and move-outs
  • Complete and maintain resort records, reports, and files
  • Refer sales prospects to the RV Resort Manager and/or Sales Manager and enter prospect information into property management/reservation system in a timely manner
  • Obtain approvals on prospective resident applications
  • track all approvals and denials
  • Assist prospective residents by checking the status of Sun Homes inventory
  • review home listings, show homes, and assist with rental applications
  • Review and code invoices and other payables and submit to manager approval
  • Other duties as assigned
  • Check guests in and out for their reservations
  • Greet and establish rapport with guests, current and prospective residents
  • Field resort comments, suggestions, and complaints to resort leadership
  • Maintain petty cash fund
