Hendrick Acura is currently seeking a Guest Services Representative to join their sales department administrative team. This role is pivotal in shaping the first impressions of guests who visit the dealership, ensuring a friendly and welcoming environment. The Guest Services Representative is responsible for managing and organizing the flow of customer traffic and facilitating key administrative tasks that support the sales process through meticulous record-keeping and the production of important sales metrics reports. Although this role does not involve direct supervisory responsibilities, it plays an integral part in maintaining efficient communication channels, both internally and with customers.

The responsibilities of a Guest Services Representative at Hendrick Acura involve a variety of dynamic and essential duties. These include performing opening and closing procedures to ensure smooth daily operations, managing the reception area with professionalism by answering phone calls promptly and directing them appropriately, and keeping detailed logs such as loaner agreements, dealer plates, and gas card usage. Job Requirements

Job Duties

  • Performs opening and closing guest services procedures
  • Answers incoming phone calls in a courteous, prompt, and professional manner
  • Directs phone calls to the appropriate person
  • Takes accurate messages
  • Directs customers to the appropriate person or department
  • Manages the desk log, phone up log, loaner agreement log, dealer plate log, and gas card log
  • Tracks and filters all incoming calls and takes messages
  • Communicates effectively with Guest Services Manager and Greeters
  • Reconciles and updates data entry with dealership software
  • Produces daily reports including daily update and performance metric reports
  • Walks around the showroom hourly to offer refreshments to guests
  • Provides a warm, positive and happy environment for guests, their children and fellow teammates
  • Helps maintain a clean and comfortable environment
  • Provides new hire customer management training when requested
  • Maintains CSI at or above company standards
  • Maintains an organized, clean and safe work area
  • Participates in required training
  • Records all hours worked accurately in company timekeeping system
  • Follows safeguards rules and regulations
  • Demonstrates the company's core values
  • Complies with company policies and procedures
  • Observes all federal, state, local and company safety rules and regulations in the performance of duties
  • Performs other duties as assigned
