Job Description

Washington Navy Yard is a historic military installation located in Washington, D.C., serving as a vital hub for the United States Navy. It encompasses a variety of facilities and organizations that support naval operations, training, and administration. It hosts several important divisions, including the Navy Exchange Command's Hospitality Group (NHG), which focuses on delivering top-tier hospitality and guest services to visitors and residents alike.

The Washington Navy Yard is currently seeking a dedicated Front Desk Supervisor for their NEXCOM Hospitality Group (NHG). This full-time position, offering a salary of $23.37 per hour, is based in Washington, D.C. The role plays a pivotal part in maintaining the smooth operation and high quality of the NHG front desk, which serves as the primary point of contact for guests and visitors. The Front Desk Supervisor will oversee and supervise NHG staff responsible for daily front desk operations, including lobby management, guest services, office functions, and ensuring the overall appearance and efficiency of the lobby environment.

The supervisory duties involve managing shift schedules, training staff in NHG systems, standards, and Standard Operating Procedures (SOPs), monitoring performance, and promoting continuous improvement among team members. Communication is a key aspect of this position; the supervisor will coordinate with NHG personnel, management, and the chain of command to handle guest issues or situations requiring escalation beyond one’s authority. The Front Desk Supervisor will be responsible for ensuring all guest interactions, such as reservations, check-ins/check-outs, payment processing, and inquiries, are conducted professionally and efficiently.

In addition to daily operational tasks, the role involves handling administrative responsibilities such as leave approvals, payroll entry, inventory control of uniforms, and maintaining detailed records related to guest services. The supervisor will also manage cash transactions using the Property Management System (PMS) and Point of Sale (POS) system, ensuring all financial reconciliations are accurate and timely. Acting as Manager on Duty when needed, the Front Desk Supervisor must be prepared to maintain business continuity in the absence of the General Manager and during emergencies or heavy weather conditions.

The position requires a professional who is adept at maintaining compliance with state and federal regulations, particularly OSHA standards, and NHG policies to ensure a clean and safe environment for both guests and staff. The ability to oversee budgets, monitor expenses, and assist with procurement of supplies and equipment is also essential. This role may involve occasional support for event setups such as breakfast bars or special functions, contributing to a pleasant guest experience.

Ideal candidates will have a solid background in hospitality or administrative roles, with at least two years of relevant experience or equivalent education in hotel lodging or hospitality management. Job Requirements

  • Two years of general administrative or professional experience
  • One year of responsible supervisory or technical experience in guest services or hospitality
  • Academic study in hotel lodging or hospitality school may be substituted for experience
  • Ability to communicate effectively in person, via telephone and email
  • Willingness to work all shifts including holidays
  • Must be able to perform duties during emergencies or heavy weather
  • Ability to maintain security and confidentiality
  • Proficiency with Property Management Systems and Point of Sale technology
  • Must satisfy all training requirements for the position

Job Qualifications

  • Two years of experience in administrative, professional, or responsible work with knowledge of business practices
  • One year of responsible experience in supervisory or professional work demonstrating knowledge of Navy Lodge front of house operations or similar guest services environment
  • Completion of at least one year of academic study in hotel lodging or hospitality school may substitute for experience
  • Ability to exercise mature judgment
  • Skill in person-to-person work relationships
  • Knowledge of Navy Lodge operations is preferred

Job Duties

  • Responsible for NNHG front desk operations including lobby appearance and guest service office operations
  • Work all shifts including holidays as scheduled
  • Communicate with NHG personnel and chain of command concerning operations and guest issues
  • Assist guests in person via telephone and email to secure room reservations, cancellations, payments, inquiries, check-in and check-out
  • Train associates on NHG systems, standards, and SOPs
  • Complete work schedules, assign work, monitor quality and productivity, motivate staff
  • Approve leave requests, document attendance, use payroll system, provide daily payroll expense reports
  • Issue room keys, sort mail and messages, deposit guest valuables
  • Control inventory of uniforms and ensure proper condition
  • Operate multi-line telephone system and respond to inquiries about services and facilities
  • Utilize computerized Property Management System to generate reports and input data
  • Operate Point of Sale system for convenience store or sales transactions
  • Reconcile daily transactions, perform night audit functions, assist with end of month reporting
  • Act as Manager on Duty in absence of General Manager
  • Maintain operations during emergencies and heavy weather
  • Participate in hiring, evaluating, counseling staff, completing performance evaluations, approving leave, recommending performance awards
  • Assist with setting up and breaking down breakfast bar and events
  • Create and submit purchase requisitions and maintain supplies
  • Monitor equipment and arrange repairs
  • Ensure compliance with OSHA and NHG regulations
  • Review departmental budgets and monitor expenses
  • Responsible for security of guest rooms and pass keys
  • Perform other related duties as assigned
