Job Description

The hiring establishment is a Navy Gateway Inn and Suites and/or Navy Lodge property located in Memphis, Tennessee. These properties are part of the Navy Exchange Command (NEXCOM) Hospitality Group, which provides lodging services to military personnel, their families, and authorized guests. The Navy Gateway Inn and Suites and Navy Lodge properties focus on delivering high-quality accommodations and customer service while ensuring safety, security, and privacy for all guests. This position is for a Front Desk Clerk who will serve as the primary point of contact for guests during all stages of their stay. This part-time role (20 to 34.5 hours per week) offers a competitive pay rate starting at $16.75 an hour, depending on experience. The Front Desk Clerk is responsible for managing front desk operations including check-in and check-out processes, handling guest inquiries and requests, processing reservations and payments, and maintaining lobby appearance. The role requires maintaining strong guest relations by assisting guests promptly and professionally and resolving issues that may arise during their stay.

The ideal candidate must demonstrate excellent communication skills, a positive and welcoming demeanor, and the ability to operate in a team setting. They will also be responsible for safety, security, and privacy measures to ensure a secure environment for guests and staff. Duties include greeting guests, managing reservations and payments, verifying authorized patron details, coordinating with other associates and management about guest needs or operational concerns, and maintaining accurate records using the Property Management System (PMS). Additionally, the clerk is expected to assist with inventory control of keys and other front desk supplies, support group reservations as needed, handle guest complaints with tact and professionalism, and perform related office tasks such as preparing reports and handling transactions.

Additional responsibilities include assisting with the setup and cleanup of the complimentary self-service breakfast bar, handling laundry supply distribution, and occasionally traveling to other lodging sites as part of the job. The clerk may be required to work various shifts, including weekends and holidays, and to maintain operations during emergencies or inclement weather when supervisory staff are absent. Certification with the NEXCOM Hospitality Group front desk within six months of employment and obtaining required food handling certifications for breakfast service are also required. Job Requirements

  • Must be able to maintain confidentiality and guest privacy
  • Must possess basic computer and telephone skills
  • Ability to handle cash and complete financial reconciliations
  • Ability to assist in emergency operations as needed
  • Valid state driver’s license if required for travel
  • Ability to obtain NEXCOM Hospitality Group front desk certification within six months
  • Food handling certification if assigned breakfast duties

Job Duties

  • Handle group reservations and utilize commitment agreements
  • Reconcile shift transactions and maintain guest service
  • Receive and resolve guest complaints and adjust fees or times as necessary
  • Register and assign rooms, issue keys, transmit messages, keep records
  • Operate multi-line telephone systems and answer inquiries
  • Inventory keys and supplies, maintain a clean and safe front desk and lobby
  • Log in and out assigned master key and report lost keys
  • Train and instruct front desk personnel
  • Utilize Property Management System for guest information and reservations
  • Assist ensuring Lost and Found procedures adherence
  • Log trouble calls and notify departments
  • Operate POS for sales and assist in stocking supplies
  • Handle wake-up calls and type correspondence
  • Manage change funds and guest safety deposit box access
  • Generate and print various PMS reports
  • Complete computer-generated reports and note discrepancies
  • Prepare Close Bank Report and receipts
  • Set-up and clean-up self-service breakfast bar and maintain food handling certifications
  • Assist in laundry and supply distribution
  • Travel to other lodging facilities as needed
  • Work all shifts including weekends and holidays
  • Maintain operations during emergencies
  • Obtain NEXCOM front desk certification
  • Perform other assigned duties
