Job Requirements

  • One year of general office clerical experience
  • One year progressively responsible experience in related position
  • Ability to effectively communicate with guests
  • Proficiency with property management systems
  • Ability to manage cash and reconcile transactions
  • Willingness to work flexible shifts including weekends and holidays
  • Knowledge of lodging policies and patron eligibility
  • Ability to maintain security and privacy standards
  • Valid state driver’s license if required
  • Willingness to obtain necessary certifications
  • High school diploma or equivalent

Job Qualifications

  • One year of general office clerical experience demonstrating ability to perform clerical duties satisfactorily
  • One year of progressively responsible experience related to front desk or hospitality position
  • Effective communication skills with the ability to interact professionally with guests
  • Knowledge of standard operating procedures related to lodging and patron eligibility
  • Proficiency in operating property management systems and multi-line telephone systems
  • Ability to manage cash transactions and reconcile accounts
  • Strong organizational skills with attention to detail
  • Positive attitude with a welcoming manner
  • Ability to work all assigned shifts including weekends and holidays
  • Capability to follow security protocols and maintain guest privacy
  • Valid state driver’s license if travel between lodging facilities is required
  • Completion of or willingness to obtain front desk certification within six months

Job Duties

  • Serve as first point of contact with guests at Navy Gateway Inn and Suites and Navy Lodge property
  • Handle all stages of guest stay accommodating special requests and resolving issues
  • Manage front desk operations including lobby appearance and guest service related office tasks
  • Ensure safety, security, and privacy of all guests
  • Demonstrate welcoming manner and positive attitude while effectively communicating
  • Professionally interact with guests providing facility and local attraction information
  • Assist guests with room reservations, payment processing, check-in and check-out processes
  • Communicate with lodging associates and chain of command regarding operations and guest issues
  • Apply knowledge of standard operating procedures and patron eligibility rules
  • Process room reservations and provide certificates of non-availability or alternative lodging options
  • Support Front Office Manager and Assistant General Manager in group reservations
  • Reconcile shift transactions ensuring complete balancing
  • Address guest complaints and adjust room fees or check-in/out times as appropriate
  • Utilize Property Management System for guest information and reservations
  • Register and assign rooms issuing keys or cards
  • Operate multi-line telephone system to handle messages and inquiries
  • Maintain inventory of keys and supplies
  • Keep front desk and lobby clean and safe
  • Properly log assigned master key use and report lost keys immediately
  • Train and instruct front desk personnel
  • Assist with Lost and Found management and disposal processes
  • Log trouble calls and notify appropriate departments
  • Relocate guests as needed
  • Operate POS for convenience store sales if applicable
  • Maintain supply levels and handle wake-up calls
  • Prepare memos and correspondence
  • Manage change fund and daily money logs
  • Securely maintain guest safety deposit box records
  • Generate reports from Property Management System
  • Verify accuracy of charges and complete computer-generated reports
  • Prepare Close Bank Report and receipts
  • Assist with complimentary breakfast setup, maintenance, and cleanup
  • Obtain food handling certifications as required
  • Assist with laundry facilities and supply delivery
  • Possess valid state driver’s license if required for travel
  • Work all shifts including weekends and holidays
  • Maintain operations during emergencies as needed
  • Obtain NEXCOM Hospitality Group front desk certification within 6 months
  • Perform other duties as assigned
