The Guest Services role at Rick Hendrick Toyota Sandy Springs is essential to maintaining the dealership's welcoming and professional atmosphere. This full-time position primarily involves managing the front desk and administrative responsibilities within the sales department, ensuring customers receive warm and efficient service from the moment they enter the showroom or call the dealership. The individual in this role will be tasked with creating a friendly and receptive environment for guests while performing a range of clerical and operational duties.

Key responsibilities include handling opening and closing procedures for Guest Services, answering phone calls professionally, directing inquiries to the correct department or person, managing multiple logs such as phone, loaner agreements, dealer plates, and gas cards, as well as producing daily performance and update reports. The role requires regular interaction with customers and internal teams such as the Guest Services Manager and Greeters to maintain seamless communication and enhance the guest experience.

Additionally, the Guest Services representative will engage with guests by offering refreshments and helping to maintain a clean and comfortable environment within the showroom and sales lot. The role also involves assisting with training new hires in Customer Management and consistently upholding customer satisfaction index standards set by the company.

This job does not have supervisory responsibilities but requires a reliable, organized individual with excellent interpersonal and communication skills. The position involves working scheduled shifts that may include evenings, weekends, and holidays, reflecting the dealership’s commitment to customer availability.

Candidates for this role should be proficient with Microsoft Office and adaptable to dealership management software and web-based applications. Having a valid driver’s license and an automobile salesperson license are beneficial, as well as previous customer service experience in relevant fields such as automotive, business, or information technology.

Job Duties

  • Performs opening and closing Guest Services procedures
  • answers incoming phone calls in a courteous, prompt, and professional manner
  • directs phone calls to the appropriate person
  • takes accurate messages
  • directs customers to the appropriate person or department
  • manages the desk log, phone up log, loaner agreement log, dealer plate log, and gas card log
  • tracks and filters all incoming calls and takes messages
  • communicates effectively with Guest Services Manager and Greeters
  • reconciles and updates data entry with dealership software
  • produces daily reports including Daily Update and Performance Metric reports
  • walks around the showroom hourly to offer refreshments to guests
  • provides a warm, positive and happy environment for guests, their children and teammates
  • helps maintain a clean and comfortable environment
  • provides new hire customer management training when requested
  • maintains CSI at or above company standards
  • maintains an organized, clean and safe work area
  • participates in required training
  • records all hours worked accurately
  • follows safeguards rules and regulations
  • demonstrates the company’s core values
  • complies with company policies and procedures
  • observes all safety rules and regulations
