The Guest Service Administrator role is a vital position based at a world-class Dexterra camp facility. This role encompasses more than traditional guest check-in and check-out duties, extending into critical administrative tasks that influence site operations profoundly. As a Guest Service Administrator, you will be a key representative for the camp, ensuring that guests receive outstanding customer service while maintaining precise and timely management of guest data and site occupancy.

Your responsibilities will include managing reservation records, forecasting occupancy levels based on bookings and client schedules, and generating detailed reports that support operational planning and decision-making. You will work closely with Site Managers and operational teams to ensure all guest information is accurate and up to date, facilitating effective site administration.

The role demands a proactive individual who can handle guest inquiries professionally, allocate rooms efficiently, manage check-in/check-out processes smoothly, and maintain comprehensive data in property management systems. Additionally, you will support the administrative review of various site documents including safety records, time sheets, and maintenance logs, ensuring overall site compliance and operational efficiency.

This position not only emphasizes operational accuracy but also the importance of excellent interpersonal skills. As the first point of contact for guests and clients, providing clear information about site policies and services and gathering feedback are essential tasks. Job Requirements

  • Completion of post-secondary education in hospitality, business administration, or a related field
  • Minimum 1 year of logistics, or hotel guest services and/or administrative experience
  • Minimum 1 year of accounting or administrative experience
  • Strong attention to detail
  • Intermediate proficiency with Microsoft Office
  • Experience with property management systems or hospitality software is an asset
  • Strong customer service skills

Job Qualifications

  • Experience with property management systems or hospitality software is considered an asset
  • Strong customer service skills with a professional, organized, and responsive approach

Job Duties

  • Welcoming guests and providing introductory information about the site
  • Serving as the first point of contact for guest and client inquiries via phone and email
  • Allocating guest rooms and issuing room keys and access cards as required
  • Managing the check-in and check-out process for all guests
  • Maintaining accurate records of guest names, room assignments, and dates of stay
  • Ensuring accurate and timely data entry into occupancy and property management systems
  • Forecasting occupancy levels based on bookings and client schedules
  • Running and distributing occupancy, arrival/departure, and utilization reports
  • Supporting site planning through accurate guest and occupancy reporting
  • Ensuring database accuracy for room bookings, payments, and multiple data sources
  • Providing guests with information on camp rules, policies, and services while gathering feedback
  • Assisting with administrative review of safety documentation, time sheets, and maintenance records
  • Supporting the preparation of reports using MS Excel and documentation in MS Word
  • Assisting the Site Manager with day-to-day administrative and operational support tasks
