The Guest Service Administrator role, based at a world-class Dexterra camp facility, is an essential position designed to enhance guest experiences and support site administrative functions. This role extends beyond traditional check-in and check-out responsibilities, requiring meticulous management of guest data, occupancy tracking, accurate forecasting, and comprehensive reporting. Acting as a key liaison for guest services, the Guest Service Administrator provides exceptional customer service, ensuring that all visitor interactions are positive and professional. They maintain detailed records of guest names, stay durations, and room assignments, working collaboratively with Site Managers and operational staff to support planning, resource allocation, and operational forecasting.

This role is ideal for individuals with a background in hospitality, business administration, or related fields who excel in client-facing environments and administrative tasks. The position demands a strong attention to detail, proficiency in Microsoft Office tools such as Excel and Word, and experience with property management systems or hospitality software is considered a valuable asset. The Guest Service Administrator will be responsible for welcoming guests, managing inquiries via phone and email, allocating rooms, issuing keys, and ensuring smooth procedural operations for guest arrivals and departures. They are also involved in generating and distributing occupancy reports and assisting with various administrative tasks including safety documentation and time sheet reviews.

Job Requirements

  • Completion of post-secondary education in hospitality, business administration, or a related field
  • Minimum 1 year of logistics, or hotel guest services and/or administrative experience
  • Minimum 1 year of accounting or administrative experience, which can include receiving reports, work orders, payroll data entry, invoicing and billing
  • Strong attention to detail with the ability to maintain accurate guest and occupancy records
  • Intermediate proficiency with Microsoft Office (Excel, Word)
  • Experience with property management systems or hospitality software is considered an asset
  • Strong customer service skills with a professional, organized, and responsive approach

Job Qualifications

Job Duties

  • Welcoming guests and providing introductory information about the site
  • Serving as the first point of contact for guest and client inquiries via phone and email
  • Allocating guest rooms and issuing room keys and access cards as required
  • Managing the check-in and check-out process for all guests
  • Maintaining accurate records of guest names, room assignments, and dates of stay
  • Ensuring accurate and timely data entry into occupancy and property management systems
  • Forecasting occupancy levels based on bookings and client schedules
  • Running and distributing occupancy, arrival/departure, and utilization reports
  • Supporting site planning through accurate guest and occupancy reporting
  • Ensuring database accuracy for room bookings, payments, and multiple data sources
  • Providing guests with information on camp rules, policies, and services while gathering feedback
  • Assisting with administrative review of safety documentation, time sheets, and maintenance records
  • Supporting the preparation of reports using MS Excel and documentation in MS Word
  • Assisting the Site Manager with day-to-day administrative and operational support tasks
