The Guest Service Administrator role is based at a world-class Dexterra camp facility, making it an exciting opportunity for individuals who are customer service oriented and administrative savvy. This position is pivotal to ensuring the smooth operation of guest services and the overall administration of the site. The role transcends basic check-in and check-out tasks and plays a vital role in accurate guest data management, occupancy tracking, forecasting, and reporting. The Guest Service Administrator acts not only as an ambassador of the site, delivering exceptional customer service to guests but also as a critical support element to site operations teams. Responsibilities include managing guest information such as names, dates of stay, and room allocations with meticulous precision.
Collaboration is a key component of this role, as the administrator works closely with Site Managers and other operational teams to ensure that guest data supports essential planning, forecasting, and reporting requirements. This ensures that the camp facility operates efficiently and effectively, optimizing guest experience and site productivity. This position requires a professional who is organized, detail-oriented, and capable of juggling multiple administrative tasks while maintaining a friendly and approachable demeanor. Job Requirements
- Completion of post-secondary education in hospitality, business administration, or a related field
- Minimum 1 year of logistics, or hotel guest services and/or administrative experience
- Minimum 1 year of accounting or administrative experience including receiving reports, work orders, payroll data entry, invoicing and billing
- Strong attention to detail with the ability to maintain accurate guest and occupancy records
- Intermediate proficiency with Microsoft Office (Excel, Word)
- Experience with property management systems or hospitality software is considered an asset
- Strong customer service skills with a professional, organized, and responsive approach

Job Duties
- Welcoming guests and providing introductory information about the site
- Serving as the first point of contact for guest and client inquiries via phone and email
- Allocating guest rooms and issuing room keys and access cards as required
- Managing the check-in and check-out process for all guests
- Maintaining accurate records of guest names, room assignments, and dates of stay
- Ensuring accurate and timely data entry into occupancy and property management systems
- Forecasting occupancy levels based on bookings and client schedules
- Running and distributing occupancy, arrival/departure, and utilization reports
- Supporting site planning through accurate guest and occupancy reporting
- Ensuring database accuracy for room bookings, payments, and multiple data sources
- Providing guests with information on camp rules, policies, and services while gathering feedback
- Assisting with administrative review of safety documentation, time sheets, and maintenance records
- Supporting the preparation of reports using MS Excel and documentation in MS Word
- Assisting the Site Manager with day-to-day administrative and operational support tasks
