The Guest Service Administrator role is based within a world-class Dexterra camp facility, where the primary responsibility is to enhance guest experience while managing critical administrative functions related to site operations. This is a pivotal position that transcends traditional check-in and check-out duties by involving detailed management of guest data, occupancy tracking, forecasting, and operational reporting. The Guest Service Administrator acts as the first point of contact for all guests, representing Dexterra’s commitment to outstanding customer service.

This position requires an individual who is organized, detail-oriented, and capable of managing multiple administrative tasks efficiently. The role involves maintaining accurate records of guest information, room allocations, and dates of stay to support site planning and forecasting activities effectively. Close collaboration with site managers and operational teams is essential to ensure that guest information is accurate and supports planning, forecasting, and reporting needs.

In addition to administrative tasks, the Guest Service Administrator provides crucial support in generating occupancy and utilization reports, assisting in safety documentation reviews, and other administrative operations using Microsoft Office tools. This role is ideal for someone with a background in hospitality, business administration, or a related field, who has a strong customer service orientation and the ability to work well in a fast-paced, operational environment. Job Requirements

  • Completion of post-secondary education in hospitality, business administration, or a related field
  • Minimum 1 year of logistics, or hotel guest services and/or administrative experience
  • Minimum 1 year of accounting or administrative experience, which can include receiving reports, work orders, payroll data entry, invoicing and billing
  • Strong attention to detail with the ability to maintain accurate guest and occupancy records
  • Intermediate proficiency with Microsoft Office (Excel, Word)
  • Experience with property management systems or hospitality software is considered an asset
  • Strong customer service skills with a professional, organized, and responsive approach

Job Qualifications

Job Duties

  • Welcoming guests and providing introductory information about the site
  • Serving as the first point of contact for guest and client inquiries via phone and email
  • Allocating guest rooms and issuing room keys and access cards as required
  • Managing the check-in and check-out process for all guests
  • Maintaining accurate records of guest names, room assignments, and dates of stay
  • Ensuring accurate and timely data entry into occupancy and property management systems
  • Forecasting occupancy levels based on bookings and client schedules
  • Running and distributing occupancy, arrival/departure, and utilization reports
  • Supporting site planning through accurate guest and occupancy reporting
  • Ensuring database accuracy for room bookings, payments, and multiple data sources
  • Providing guests with information on camp rules, policies, and services while gathering feedback
  • Assisting with administrative review of safety documentation, time sheets, and maintenance records
  • Supporting the preparation of reports using MS Excel and documentation in MS Word
  • Assisting the Site Manager with day-to-day administrative and operational support tasks
