The role of Receptionist at Brookhaven Retirement Community is pivotal in shaping the first impression for visitors, residents, and staff alike. This position requires a professional individual who can greet visitors warmly and answer telephones with courtesy and efficiency, directing calls to the appropriate departments or individuals. The Receptionist is also responsible for essential administrative tasks including distributing facility mail, managing meal money records, ordering office supplies, assisting with typing and filing, and supporting other departments as needed. A key part of the role involves maintaining accurate records and ensuring that visitors and family members sign in on logs when visiting residents, thereby contributing to overall safety and security. This position requires proficiency in handling multi-line phone systems, professional phone etiquette, and strong data entry skills. Additionally, the Receptionist will assist the Human Resources department by preparing orientation and new hire packets, reinforcing the integral role this position plays in the smooth operation of the community. Working hours for this position are every other weekend from 3pm to 9pm, aligning specifically with Brookhaven's Independent Living services. Job Duties
- Greet visitors and answer telephones in a professional and business-like manner and direct calls to the appropriate person or department
- Distribute facility mail and forward discharged residents' mail
- Assure that all visitors and family sign in on logs when visiting
- Maintain accurate records for meal money
- Maintain copier, postage machine, fax machine and typewriter
- Assist HR in printing orientation packets and new hire packets
- Assist other departments in items as needed
- Maintain regular, punctual attendance
