The Guest Reception Representative role at Bluegreen Vacations is an essential front-line position responsible for ensuring every guest is welcomed warmly and professionally. This individual serves as the first point of contact for visitors, customers, and guests, both in-person and over the phone, representing the company positively through impeccable communication and appearance. The role requires handling multiple responsibilities including greeting guests, screening and directing incoming calls, answering questions, and assisting with guest registration forms. The Guest Reception Representative must ensure all guests meet qualification criteria set by the company for their presentations. The position also involves recording and escalating customer complaints or concerns, managing guest flow by assigning sales representatives fairly, and making sure all guest information is updated accurately and promptly within the concierge system. The role demands maintaining strong cooperative relationships with sales, marketing, and administration teams to support seamless operations at the site. Additionally, this position has an important administrative component, involving the accurate collection and reconciliation of data for payroll, premium tracking, hotel arrangements, vendor payments, and business intelligence reporting. This role requires attention to detail, excellent interpersonal skills, and the ability to handle multiple tasks efficiently in a busy guest-focused environment. Job Requirements

  • High school diploma or equivalent
  • Previous guest service or customer service experience preferred
  • Ability to communicate effectively both verbally and in writing
  • Strong organizational skills and attention to detail
  • Capability to operate phone systems and standard office software
  • Willingness to undergo background check and drug screening
  • Ability to work as part of a team and maintain a professional attitude

Job Qualifications

  • High school diploma or equivalent
  • Previous experience in guest services or customer service preferred
  • Excellent communication and interpersonal skills
  • Ability to multitask and manage time effectively
  • Proficiency with computer applications and data entry

  • Ability to work collaboratively with multiple departments

Job Duties

  • Greet all guests in a warm and professional manner
  • Understand and follow all processes as outlined in the Guest Training Manual SOP
  • Maintain a positive working relationship with Sales, Marketing and Admin
  • Distribute and collect Guest Registration Forms assisting guests with any questions they may have
  • Assist in ensuring all downstream reporting is accurate including Payroll, Premium Reconciliation, Hotel Reconciliation, Vendor Payables and BI Reporting by maintaining a superior level of data integrity
  • Log escalation of customer complaints/concerns as outlined by Site Level Management
  • Accurately assign guests to a Sales Representative in the order they arrive
  • Ensure all information is updated in Concierge from the guest registration within a timely fashion
  • Answer all incoming calls, research customer issues, and escalate to a manager/supervisor as needed
