The position of Guest Reception Representative at Hilton Grand Vacations is a pivotal role in ensuring a positive and welcoming experience for all guests. This role requires an individual who is friendly, helpful, and capable of managing guest interactions with the utmost professionalism and care. As the first point of contact, the Guest Reception Representative greets guests both in person and over the phone, carefully managing guest information and ensuring that each guest meets the qualifications for their presentation according to company standards. This role also involves collaboration with various departments including Sales, Marketing, and Administrative teams to provide a seamless and engaging guest experience. The representative is responsible for handling guest registration forms, addressing guest inquiries, and coordinating guest assignments to Sales Representatives in an efficient and orderly manner.

Job Requirements
- High school diploma or equivalent
- Prior experience in customer service or related field preferred
- Excellent verbal and written communication skills
- Ability to work flexible hours including weekends and holidays
- Strong organizational skills
- Ability to maintain confidentiality and handle sensitive information
- Must be able to stand and interact with guests for extended periods
Job Qualifications
- High school diploma or equivalent
- Experience in customer service or hospitality preferred
- Strong communication and interpersonal skills
- Ability to multitask and work in a fast-paced environment
- Proficient with basic computer applications
- Friendly and professional demeanor
- Ability to follow established procedures and training manuals
Job Duties
- Greet guests warmly and professionally, whether in person or over the phone
- Ensure that all guests meet the qualifications for their presentation, adhering to HGV standards
- Follow processes outlined in the Guest Reception Training Manual SOP
- Maintain positive working relationships with Sales, Marketing, and Administrative teams
- Distribute and collect Guest Registration Forms, assisting guests with any inquiries
- Accurately assign guests to Sales Representatives in the order of their arrival
- Ensure timely updates of guest information in Concierge
- Answer all incoming calls, conduct research on customer issues, and advance to a manager/supervisor when necessary
