The Group Tour Operations Coordinator is a pivotal role within Friendship Tours, designed for a highly organized and detail-oriented individual who excels in multitasking and thrives in fast-paced environments. This full-time, in-person position reports directly to the Tour Managers and is centered on supporting the Motorcoach Daytrip and Overnight Tour departments to ensure seamless tour execution from planning through departure. The Coordinator is responsible for managing multiple tours at once, handling operational details, vendor coordination, documentation, and client communication with precision and care.

Critical to the role is the ability to juggle various tasks including itinerary preparation, managing reservations and rooming lists, negotiating vendor contracts, and maintaining accurate records within proprietary reservation and CRM systems. The position also incorporates functions related to trip insurance quoting and administration, offering an added layer of service to clients by providing clear and accurate coverage options. Furthermore, the role supports marketing initiatives by creating and updating promotional materials using tools like Microsoft Publisher and Canva, and assisting in social media and email marketing campaigns. The Coordinator plays a vital part in building and maintaining lasting relationships with clients and suppliers by delivering excellent customer service and addressing any operational challenges proactively.

Job Duties

  • Coordinate day-to-day implementation of multiple motorcoach day trips and overnight tours
  • Prepare itineraries, tour documents, and client communications
  • Manage reservations and rooming lists
  • Negotiate and confirm vendor contracts and services
  • Track deadlines including deposits, final payments, and vendor cut-offs
  • Maintain accurate data entry within proprietary reservation and CRM systems
  • Reconcile accounts and assist with administrative reporting
  • Research destinations and attractions to assist in developing new tour offerings
  • Build and maintain positive relationships with group leaders and suppliers
  • Provide outstanding customer service to clients and partners
  • Address operational challenges proactively and professionally
  • Assist with quoting, presenting, and processing trip insurance plans
  • Communicate coverage options clearly and accurately to clients
  • Create and update marketing materials using Microsoft Publisher and Canva
  • Assist with social media content and email marketing campaigns
  • Perform reception duties in a professional and courteous manner
  • Train on and master proprietary tour reservation and operations software
