This position is a part-time role offering a competitive pay rate of $17.00 per hour and requires a valid Colorado Support Gaming License. The job is centered within the Group Sales Department, directly supporting group functions across various sectors including hotel, casino, marketing, and sales. The primary role of the individual in this position is to provide comprehensive support for both new and existing group sales and events. This includes not only administrative support but also active communication with prospective guests, ensuring that accurate and up-to-date information about the properties is conveyed effectively.
Reporting directly to the Group Sales Manager or Assistant General Manager, the role involves close coordination with the Meeting and Event Coordinator or Facilitator to keep track of daily statuses related to all groups, events, and special projects. The successful candidate will be involved in a spectrum of responsibilities that ensure the smooth operation of group functions, ranging from initial contact with clients to the execution and follow-up of events. Compliance with the Colorado Limited Gaming Act and company policies is a critical aspect of the role, emphasizing the importance of integrity and adherence to regulatory standards.
In this role, the candidate will be responsible for handling incoming calls for group function requests, following up on leads, and communicating detailed information about hotel accommodations, gaming options, event menus, and transportation arrangements. Additionally, they will play a key role in preparing and managing event-related materials, such as welcome signs and group packets, and ensuring that hospitality rooms are properly set up according to each group's specifications.
The position requires a collaborative approach, including conducting weekly coordination meetings (especially when the Group Sales Manager or Event Coordinator is unavailable) to keep all staff informed and prepared for upcoming functions. A solid understanding of hotel reservation systems (specifically Megasys) and casino play tracking software (CMP) is also essential for maintaining accurate records of group visits, tracking sales, and supporting marketing efforts.

Job Requirements
- Must have a valid Colorado Support Gaming License
- must have a valid Colorado driver's license with a good driving record
- must be at least eighteen years of age
- able to sit for extended periods using computer and telephone
- able to use hands to manipulate, handle or feel
- able to talk or hear
- occasionally able to walk and lift or move up to 25 pounds
- able to see with close vision, peripheral vision, depth perception and focus adjustment
- willing to work in an inside office environment
- willing to travel occasionally to trade shows by car or bus
- willing to work around moving mechanical parts, risk of electrical shock and vibration
- able to work in a moderate noise environment
Job Qualifications
- High school diploma or equivalent
- two years' experience in hotel and marketing
- strong customer service skills and phone etiquette
- computer experience in Word and Excel
- demonstrated effective and diplomatic oral and written communication skills in English
- ability to define problems, collect data, establish facts and draw valid conclusions
- ability to interpret a variety of information
Job Duties
- Assist with taking all incoming calls for group function requests
- assist with follow up on all leads for prospective groups
- communicate with prospective groups/guests regarding hotel rooms, Premier Club enrollment, meeting/banquet rooms, menus, charter bus trips, etc
- showcase property to prospective groups/guests
- conduct weekly meetings to discuss, coordinate and communicate group function needs to all supporting staff in absence of Group Sales Manager or Meeting & Event Coordinator/Facilitator
- assist in creating upcoming group function sheets to keep casino/hotel/restaurant staff and facilities informed regarding upcoming groups
- ensure all hospitality rooms are set up and ready for the day's function according to group's specifications
- assist in making welcome signs for all groups and ensuring that signs are in place prior to arrival, and verify group packets are ready upon arrival
- assist Group Sales Manager or Meeting & Event Coordinator/Facilitator with greeting each group and ensuring hotel, banquet and hospitality needs are met
- maintain groups on the hotel reservation system (Megasys) and cancel groups who are not coming
- assist with casino play tracking system (CMP) to support Casino Analyst, Directors of Hotel and Marketing with tracking group sales, hotel revenue, food and beverage revenue and player tracking
- attend marketing and group sales meetings
- work professionally with all departments to ensure successful events
- assist with creating weekly memos, group meeting briefings (GMBs), and banquet event orders (BEOs) to keep employees informed
- keep wall calendars updated and check daily to ensure function readiness
- know and understand Colorado Gaming ICMPs applicable to the department
- perform other duties and special projects as needed and directed
