Within this prestigious setting, the Group Rooms Coordinator plays a critical role in ensuring the smooth operation of group bookings from initial contract to departure. This position involves maintaining the accuracy and integrity of group blocks, rooming lists, and rate codes, while acting as the main liaison between Sales, Conference Services, Revenue Management, Operations, and clients. A Group Rooms Coordinator’s responsibilities are intricate and multifaceted, requiring exceptional organizational skills, attention to detail, and the ability to communicate effectively with internal departments and external clients.
The role includes managing group turnovers, monitoring room blocks, preparing reports, managing billing and routing, and ensuring full compliance with Four Seasons’ standards throughout the group reservation lifecycle. Success in this position is measured by efficient turnover processing, strong pickup and attrition management, precise data handling in the Opera Property Management System, and clear communication with all stakeholders. Daily tasks include updating rooming lists, responding to client inquiries, and collaborating with the hotel’s CORE team when needed. Weekly and monthly duties include preparing for and leading pickup meetings, overseeing contract reviews, and maintaining accurate records related to group stays.

Job Requirements
- High school diploma or equivalent
- Experience in group reservations or hotel operations preferred
- Proven customer service experience
- Strong technical aptitude with property management software
- Excellent organizational skills
- Ability to handle multiple priorities
- Strong written and verbal communication skills
- Valid work authorization for the U.S.

Job Duties
- Process all group turnovers including creating new group files, sending introduction letters, creating rate codes, verifying cut-off dates, and managing room blocks
- Maintain Group Reservations email inboxes
- Communicate group activity, pickup, attrition, and contractual guidelines to Group Contacts, Conference Service Managers, and Sales teams
- Build web-link blocks and monitor availability and cut-off dates
- Review and action all Group Resumes
- Input, update, and monitor all group rooming lists
- Run daily reports such as Daily Transaction Report, Booking Recaps, Cut-Off Report, Group No Shows and process rooming lists within 48 hours
- Set up billing and routing and provide accounting with contact details, block details, pickup, and attrition
- Communicate group activity to Revenue Management and maintain Golden Sales and Catering system with weekly pickup for upcoming months
- Manage block inventory, cut-off dates, and prepare weekly pickup reports
- Respond promptly to client emails
- Ensure accurate rate information, deposits, and cancellation policies for confirmations and alert Conference Service Managers to VIPs and billing details
- Serve as main Passkey Integration contact
- Check for updates or rooming lists from the previous day daily
- Update block notes for new definite groups
- Prioritize urgent client, CSM, and Sales emails
- Send rooming lists to clients and send confirmations as needed
- Run cut-off reports for groups cutting off within three days and notify Conference Service Managers
- Communicate attrition upon receiving rooming lists
- Collaborate with the CORE team on group communication
- Support CORE duties involving phone volume and chat when necessary
- Prepare for and lead pickup meetings, communicate pickup and attrition to Conference Service Managers
- Send rooming lists to clients one week prior for call-in groups
- Conduct group and resume reviews
- Attend resume meetings and pre-convention sessions
- Review contracts at time of contracting including cancellation policies and reservation methods
- Transfer contract details into Opera system
- Attach deposits and cancellation as needed
- Verify Opera block matches contract in terms of room types, rates, and concessions
