Within this vibrant and values-driven organization, the Group Rooms and Reservation Coordinator plays a crucial role in the hospitality segment, specifically overseeing the reservations department. This is a dynamic position focused on efficiently selling guest rooms to meet the diverse needs of guests, with particular attention to managing group rooming lists and reservation requests. The Coordinator’s responsibilities include analyzing room inventory to maximize revenue, supporting front desk staffing requirements, and training agents on reservation operations.
This role demands exceptional attention to detail, a commitment to superior customer service, and a warm, friendly attitude towards guests and colleagues alike. The coordinator monitors room availability, attends operational meetings, and prepares detailed reports related to room sales and group reservations. Additionally, they collaborate closely with sales teams and other departments to ensure group contracts and rates are adhered to accurately and that client communications are handled professionally.
Key operational functions also include managing group setups in property management systems such as Opera and iHotelier, handling reservation changes including cancellations and modifications, and supporting revenue management strategies. The position requires individuals who are adept at multitasking and possess effective communication skills, as they facilitate coordination between different hotel departments and ensure smooth execution of group accommodations. Moreover, the Group Rooms and Reservation Coordinator supports Front Office Management in managing long-term negotiated accounts and handles inventory controls during peak sell-out or oversell situations.

Job Requirements
- High school diploma or equivalent
- Prior experience in hotel reservations or front desk operations
- Proficiency in using Opera and iHotelier systems
- Strong written and verbal communication skills
- Ability to pass the USPS Federal Background check
- Attention to detail
- Good organizational and multitasking skills

Job Duties
- Monitor and analyze rooms inventory and increase average rate
- Help with staffing needs at the front desk and train agents on the operations of the reservation department
- Attend meetings to support business operations
- Calculate and prepare room pick-up reports
- Initiate and prepare reports as required
- Handle all reservations aspects of a group including monitoring room block, rooming lists, VIP and other accommodations, and client correspondence relating to reservations
- Support revenue management strategies
