The Group Reservations Coordinator role at the Queen Mary Hotel is pivotal in ensuring exceptional customer service and the highest accuracy in group bookings. This full-time position involves close collaboration with multiple hotel departments including Sales & Marketing, Accounting, Conference Services, and Group Meeting Planners. The coordinator is responsible for managing group reservations processes that require detail-oriented and proactive management of multiple systems and data. The core responsibilities include maintaining up-to-date files on all upcoming groups, ensuring synchronization between reservations systems such as Delphi and SMS, and documenting detailed group profiles with critical information such as rates, deposits, and contract concessions. The coordinator also handles creating and maintaining inclusive rate packages, processing travel agent commissions, managing rooming lists and billing changes, and manually assigning accommodations based on specific group requests. Communication is key in this position, as the coordinator acts as a liaison between group clients and central reservations, attending planning meetings as required, and collaborating with other departments to ensure all group functions and audits are completed accurately and on schedule.

Job Requirements

  • High school diploma or equivalent
  • Minimum six months of reservations experience in hospitality
  • Proficiency in Microsoft Outlook, Word, and Excel
  • Experience using Delphi and SMS group sales systems
  • Availability to work occasional evenings and weekends
  • Ability to manage multiple computer systems simultaneously
  • Strong attention to detail and ability to work independently and in a team
  • Adaptability to changing work conditions and priorities

Job Qualifications

  • High school graduate or G.E.D. equivalent
  • Six months reservations experience in the hospitality industry
  • Knowledge of Outlook, MS Word, and Excel required
  • Experience with group sales computer systems including Delphi and SMS
  • Occasional evening and weekend work to meet deadlines
  • Capable of using multiple systems at the same time
  • Self-starter, results-oriented, team player, and demonstrates a high-level attention to detail
  • Flexibility and adaptability to a dynamic, evolving environment

Job Duties

  • Keep updated files on all upcoming groups upon receipt of turnover
  • Ensure accuracy between the Delphi and SMS systems including room blocks, rates, cutoff dates
  • Detail each group profile and/or reservation with group specific information such as rate, rate code, deposits, location requests, package inclusions, contract concessions
  • Build rates and inclusive packages specific to each group including creating routing profiles, deposit policies, cancellation policies
  • Process travel agent commissions
  • Act as liaison between group and central reservations
  • Input group rooming list and facilitate all rooming list and billing changes upon receipt from conference service coordinator
  • Manually assign specific accommodations based upon feature and/or location requests
  • Provide reservation and pick up reports upon request
  • Cross reference group resumes with system information and ensure accuracy
  • Attend all pre-planning and/or pre-conference meetings with clients and conference services coordinator via phone or in person
  • Review no shows from previous night and make corrections as needed
  • Assist accounting in verifying and correcting group guest folios
  • Ensure all group functions and audits are completed in an accurate and timely fashion
  • Communicate effectively with call center manager, business analyst, sales manager, conference services coordinator, and group meeting planner
  • Perform other duties as assigned by hotel or department leadership
